Job Description
The Senior Administrative Coordinator will provide executive-level administrative support while ensuring efficient office operations across multiple departments. This individual will partner closely with senior leadership, coordinate department-wide administrative initiatives, oversee front office operations, and supervise the receptionist. The ideal candidate is highly organized, collaborative, and passionate about supporting a meaningful mission.
Key Responsibilities
- Provide comprehensive administrative support to executive leadership, including complex calendar management, meeting coordination, travel arrangements, and scheduling.
- Organize meetings by preparing agendas, presentations, reports, and meeting materials while documenting notes and tracking follow-up items.
- Draft, edit, and distribute professional correspondence, reports, presentations, and confidential documents.
- Manage incoming communications, prioritize requests, and route inquiries appropriately.
- Process purchase requests, expense reports, invoices, and other administrative documentation.
- Coordinate department calendars, meetings, trainings, special events, and leadership initiatives.
- Standardize administrative procedures, templates, and documentation to improve consistency across teams.
- Collect, organize, and submit reports and departmental information for leadership.
- Assist with onboarding and administrative orientation for new team members.
- Oversee daily office operations, including reception, conference room scheduling, office supplies, mail distribution, and shared resources.
- Supervise and provide guidance to the receptionist while promoting excellent customer service.
- Serve as the primary point of contact for facilities, technology, security, and other internal support teams.
- Identify opportunities to improve administrative workflows and office efficiency.
- Foster collaboration among administrative staff and support cross-functional communication.
Qualifications
- High school diploma or equivalent required.
- Previous experience as an Executive Assistant, Office Manager, Senior Administrative Assistant, or similar administrative leadership role.
- Demonstrated career progression in administrative support positions.
- Prior experience supervising or leading administrative staff.
- Background working within a nonprofit or mission-focused organization strongly preferred.
- Experience coordinating large meetings, events, or organizational initiatives.
- Strong proficiency with Microsoft Office Suite, including Outlook, Word, Excel, PowerPoint, and Teams.
- Excellent organizational, communication, and multitasking skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Comfortable working independently while partnering effectively with executive leadership and cross-functional teams.
- Professional, compassionate, and service-oriented approach with strong interpersonal skills.
