Responsibilities
- Provide administrative support for the Chief PA and PA Directors, including complex calendar management, meeting coordination, and other administrative logistics.
- Serve as administrative contact for designated PA learner program(s).
- Conduct regular check-ins (e.g., weekly) with PA leadership and assist in tracking action items.
- Cook up travel, conferences, and related logistics (reservations, itineraries, deadlines, and documentation).
- Coordinate travel, conferences, and related logistics (reservations, itineraries, deadlines, and documentation).
- Provide coordination and related logistics for PA student rotations from UM-Flint and other partner programs.
- Maintain, monitor, and update PA website.
- Provide logistical support for monthly new hire PA orientation.
- Provide logistical support for candidate interviews and visit days, including scheduling, hosting coordination, and day-of needs.
- Support PA/APP events and activities (e.g., annual PA Week activities, holiday events, candidate hosting/interview days) and other projects as assigned.
- Provide support for CME applications and conferences (e.g., Spring PA CME Event).
- Provide administrative support for position request meetings and ensure accurate tracking of positions.
Required Qualifications
- A high school diploma or equivalent and 5+ years of progressively responsible administrative experience, or an equivalent combination of education and experience.
- Demonstrated experience with administrative coordination in a fast-paced environment.
- Proficiency with common office software (e.g., Outlook/Teams, Word, Excel, Zoom) and ability to learn new systems.
- Excellent organizational skills, attention to detail, and ability to manage multiple priorities with minimal supervision.
- Strong customer service, communication, and discretion when handling sensitive information.
Desired Qualifications
- Experience supporting leadership in an Academic Health System setting and coordinating complex calendars.
- Experience with U-M systems (e.g., Marketplace, Emburse Enterprise, Collegiate Travel Planners (CTP), SharePoint, Cornerstone).
- Experience coordinating interviews, events, or travel logistics.
- Familiarity with clinical/academic medical environment workflows.
- Experience managing routine website updates, including adding or editing content, and keeping information current.
