About the role
The Senior Administrative Assistant provides comprehensive executive support to the Vice President of Supply Chain, ensuring seamless management of priorities, communications, and business operations. This role serves as a trusted partner, coordinating complex calendars, travel, meetings, and leadership team activities while maintaining a high level of professionalism, discretion, and attention to detail. The position collaborates across Supply Chain, Operations, Manufacturing, Procurement, Finance, and Commercial teams to support key business initiatives, drive administrative excellence, and enable efficient execution of organizational priorities.
Accountabilities
- Executive Calendar & Priority Management – Manage the VP Supply Chain's complex calendar, including scheduling leadership meetings, business reviews, site visits, and external engagements. Anticipate scheduling conflicts, prioritize requests, and ensure alignment with business objectives.
- Meeting & Leadership Support – Coordinate staff meetings, leadership team sessions, town halls, and cross-functional reviews. Prepare agendas, presentation materials, action-item trackers, and meeting logistics to ensure productive outcomes.
- Travel & Event Coordination – Manage domestic and international travel arrangements, expense reporting, and logistical planning for the VP and select leadership team members. Coordinate Supply Chain leadership events, off-sites, and team engagement activities.
- Communication & Stakeholder Management – Serve as a primary administrative point of contact for internal and external stakeholders. Facilitate communications across Operations, Manufacturing, Procurement, Planning, and Corporate functions while maintaining confidentiality and professionalism.
- Administrative Operations & Strategic Support – Support budget tracking, purchase orders, invoices, organizational communications, onboarding activities, and special projects. Maintain accurate records, manage department resources, and assist in the execution of key Supply Chain initiatives and operational priorities.

- Experience supporting senior leaders in Supply Chain, Operations, Manufacturing, or a fast-paced corporate environment preferred
Minimum Education & Requirements
- High School Diploma or equivalent required
- Associate's Degree preferred
- 2+ years of administrative support experience required; experience supporting senior leaders or executives preferred
