Senior Administrative Assistant
Position Summary
The Senior Administrative Assistant serves as the first point of contact for many clients, visitors, and business partners while providing administrative and scheduling support to Executive Leadership. This role is responsible for maintaining a professional and welcoming office environment, coordinating executive calendars and communications, and managing designated company Google Calendars. Success in this position requires professionalism, multi-tasking, attention to detail, discretion, strong organizational skills, and a commitment to supporting the overall success of the organizations.
Key Responsibilities
Serve as the first point of contact for visitors entering the office. Greet visitors professionally and assist with questions regarding all companies and services. Welcome visitors and direct them to the appropriate office, conference room, or podcast studio. Maintain and welcoming, presentable, professional, and organized front office environment. Maintain professionalism, communication, and confidentiality during all guest and client interactions.
Cook up executive scheduling and communication. Coordinate scheduling for Executive Leadership, including both in-person and online meetings. Manage executive calendars, scheduling priorities, and schedule coordination with accuracy, discretion, and attention to detail. Serve as the primary administrator for designated company Google Calendars, ensuring calendar information remains accurate and up to date through the management of approved PTO requests, employee birthdays, company events, meetings, scheduling changes, etc. Answer inbound phone calls professionally and direct calls and voicemails to the appropriate team member. Maintain timely and professional communication regarding scheduling changes, meeting confirmations, and follow-up needs. Demonstrate reliability, responsiveness, organization, and attention to detail in all scheduling and communication responsibilities. Assist with meeting preparation, including conference room readiness, materials, and attendee coordination.
Aid Executive Leadership with administrative tasks as assigned. Maintain organization of office materials, schedules, meeting coordination, and company resources. Maintain confidentiality regarding company information, leadership discussions, schedules, and sensitive information. Professionally represent all companies during public-facing interactions, meetings, and events. Support office operations and administrative functions as directed by Executive Leadership.
Demonstrate initiative in learning all companies’ operations, services, processes, and procedures. Demonstrate adaptability and willingness to take on additional responsibilities as business needs evolve. Maintain a positive, professional, and team-oriented attitude. All other duties as assigned.
