Secretary (Reg FT)
Regular full-time position in Enrollment Services on the Main Campus. Fully in-person role; schedule may be subject to change.
Schedule
Standard work schedule: Monday, Tuesday, Thursday, and Friday 8:30 am – 4:30 pm and Wednesday 11:00 am – 7:00 pm. In January and August and during open registration, schedule changes to Monday – Thursday 11:00 am – 7:00 pm and Friday 9:00 am – 5:00 pm. Additional hours may be required to meet department needs.
About the role
Performs a variety of general secretarial duties for a major campus function, department, or division, which may include preparation of correspondence and reports, screening telephone calls and visitors, filing, and scheduling.
Responsibilities
- Provides quality customer service to both internal and external customers.
- Prepares and processes correspondence, documents/forms, reports, minutes, surveys, and other materials.
- Screens phone calls; receives and assists visitors; receives, sorts, and delivers mail; receives and responds to requests.
- Maintains files (electronic/paper), records, logs, and reports.
- Reviews documents for accuracy and completeness and edits as necessary.
- Performs various scheduling activities.
- Maintains and orders supplies.
- Computes and processes payroll for assigned faculty and staff; handles receipt of cash and petty cash as necessary; assists with trip requests.
- Prepares bulk mailings and participates in clerical preparations and activities for meetings and various college events.
- Assists with training temporary staff; may assign work to temporary part-time and work-study student employees.
- Performs all duties in accordance with applicable laws, collective bargaining agreements, board policies, and administrative regulations.
- Performs other clerical duties related to specific/unique needs of the department.
- Performs other related duties as required or assigned.
Requirements
- High school diploma or GED plus one year of relevant experience in an office environment.
- Ability to tactfully and courteously answer questions and provide information.
- Knowledge related to the specific needs of the department to perform responsibilities.
- Ability to travel to any campus or center location within the CCAC system.
- Ability to operate various office equipment, including a personal computer, switchboard, and appropriate College software packages or equivalent.
- Good organizational, customer service, communication, interpersonal, and clerical skills.
- Detail-oriented, ability to multi-task, meet deadlines, and work as a team player.
- Regular and timely attendance required.
Physical Requirements
Must be able to work in a general office environment with the ability to sit for at least 2 hours without interruption.
Pay
Salary grade SEIU D - $17.86 per hour.
