Secretary II- Human Services Department - Victim Services Division
About the role
The City of Phoenix Human Services Department (HSD) enhances the health, wellness, and quality of life for Phoenix residents by providing a comprehensive array of services to help people meet emergency, short and long-term needs; and to help every individual reach their highest level of self-sufficiency. This position will support secretarial needs at the Victim Services Division (VSD) within the Human Services Department. VSD provides advocacy and services to victims of domestic violence, sexual assault, and human trafficking at the Phoenix Family Advocacy Center.
The Secretary II position performs skilled secretarial and general clerical work that requires typing, filing, and other related functions.
Responsibilities
- Answering telephones and routing calls to appropriate staff.
- Greeting visitors and directing them to the appropriate persons according to their needs.
- Typing documents from clear copy, rough draft, or hand-written notes using a computer.
- Proofreading and editing documents for correct spelling, grammar, and format.
- Establishing and maintaining paper and electronic filing systems for records, correspondence, and other material.
- Scheduling meetings or interviews, booking conference rooms, and maintaining a computer calendaring system.
A Secretary II may work alone in a small office, or as part of a team in a centralized secretarial operation.

Requirements
- Two years of secretarial experience, including training in office productivity software and the use of modern office equipment.
- Other combinations of experience and education which meet the minimum requirements may be substituted.
- All finalists for positions are subject to a criminal background check applicable to the department or position.
- This position requires the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.
Preferred Qualifications
- Experience performing procurement functions, accounts payable functions, and tracking contracts.
- Answering high-volume telephone calls and greeting customers.
- Using financial systems such as SAP/SRM.
- Frontline reception.
- Scheduling, booking rooms, and maintaining calendars.
- Keeping inventory and ordering office supplies.
- Managing electronic files.
- Organizing and submitting reports.
- Proofreading and editing documents for correct spelling, grammar, and format.
- Spanish proficiency, written and oral.
- Proficiency with Microsoft Office.
Pay
Pay Range: $18.52 - $26.07 per hour. Hiring Range: $18.52 - $22.52 per hour.
The actual salary offer will carefully consider a wide range of factors, including your skills, qualifications, experience, education, licenses, training, and internal equity.
