About the Role

The Scheduling Specialist II assists in coordinating the Patient Procedure/Surgical schedule, managing and scheduling complex surgical procedures that may require multiple appointments, add-ons, and emergent procedures. This role facilitates communication between patients, physicians, multiple departments, and staff members, and collaborates with Insurance Verification Specialists to assist with the authorization process.

Responsibilities

  • Coordinate pre-procedure diagnostic tests, clearances, treatment plans, and cycles with patients.
  • Create and modify patient itineraries as requested.
  • Provide clerical support, including patient registration filing, data entry, and preparation of patient charts.
  • Assist with the master schedule for procedures and coordinate case resource needs.
  • Interact directly with patients in a high call volume environment.
  • Participate in continuous quality improvement processes.
  • Maintain knowledge of departmental standard operating procedures, including specialized instrumentation, Quality Control requirements, and preventative maintenance.
  • Maintain confidentiality.
  • Perform other duties as assigned.

Interventional Radiology

  • Submit authorizations for IR patients referred by IR Radiologists and obtain authorizations from referring physicians.
  • Verify patient pre-procedure diagnostic imaging and clearances are sufficient.
  • Provide coverage for Lead Clerk between both campuses, as needed.

Infusion

  • Conduct patient check-in and check-out.
  • Identify patient needs for additional supportive resources (e.g., caregivers and transportation).
  • Confirm and schedule additional appointments as needed.

Requirements

  • High School Graduate or equivalent required.
  • Minimum of two (2) years’ previous scheduling experience.
  • Infusion: Minimum of three (3) years’ previous scheduling experience in a healthcare setting required.
  • Excellent interpersonal and communication skills.
  • Knowledge of proper body mechanics and safety measures.
  • Basic knowledge of Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and Healthcare database systems.
  • Strong knowledge of basic medical terminology preferred.
  • Proven ability to interface with all customer levels (Physicians, Staff, Vendors, Patients, Family members).
  • Full understanding of medical insurance procedures required.
  • Basic keyboarding minimum 35 WPM preferred.

Certifications

  • BLS (Basic Life Support) required within 6 months of hire for Oncology Specialty Clinic roles.
  • BLS required upon hire for Irvine Periop and Operating Room roles.
  • BLS (AHA) preferred for Heart Valve Clinic.
