Scheduling Assistant

Job Summary

The Scheduling Assistant is responsible for taking messages for the scheduling team to schedule patient testing, procedures, indexing, admissions; obtaining accurate demographic patient information including the phone number for the patient.

Responsibilities

• Represent the organization as a top‑notch, service‑oriented business.
• Take messages from callers, capturing all demographic information and a phone number for return calls.
• Index orders for procedures in the order management system as needed.
• Perform order and report reconciliation, including physician follow‑up for resolution.
• Review physician orders for quality assurance.
• Use judgment to escalate unresolved issues to management.
• Perform outbound calls to obtain information, including faxing and emailing.
• Spend approximately 90% of the day on the phone.

Qualifications

• Previous call‑center experience (preferred).
• Medical office experience (preferred).
• Experience using multiple computer applications and the internet.
• High‑speed internet required for virtual roles: minimum 25 Mbps download and 6 Mbps upload.
