Scheduling Assistant
Responsibilities
- Coverage and coordination of staffing for the patient staffing office and designated clinical departments, including the Emergency Department, Medical/Surgical, PIP, and ICU.
- Clear and professional communication with clinical staff and department leadership regarding schedules, coverage needs, and staffing changes.
- Scheduling appointments and shifts, ensuring accuracy and timeliness in all scheduling activities.
- Handling a large volume of incoming calls, providing courteous and efficient customer service to internal and external stakeholders.
- General administrative support to the patient staffing office, including documentation, filing, and data entry related to staffing and schedules.
- Maintaining up-to-date scheduling records and databases to support workforce planning and staffing decisions.
- Supporting timekeeping processes by assisting with tracking hours, verifying information, and ensuring proper documentation.
- Aiding in workforce scheduling activities, including adjustments to coverage and responding to last-minute staffing needs.
- Collaborating with weekday and weekend leadership during training and ongoing operations to ensure consistent staffing processes.
Requirements
- Strong customer service skills with the ability to communicate clearly and professionally.
- Ability to schedule appointments and coordinate staffing coverage accurately and efficiently.
- Capability to handle a large volume of calls while maintaining composure and attention to detail.
- Administrative support experience, including organizing information and managing records.
- Scheduling and coordinating skills within a fast-paced environment.
- High School Diploma or GED.

- Comfort working in a medical office or healthcare-related environment.
- Ability to learn and follow established staffing and scheduling procedures.
- Strong organizational skills and attention to detail.
- No professional license required for this role.

Pay and Benefits
The pay range for this position is $20.00 - $23.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment. About the Role
This role is based in a medical office environment and typically requires 15 to 25 hours per week, worked in 8-hour days. Every other weekend work is necessary as part of the regular schedule. During the first month, the training period includes working a few weekdays to train with weekday leadership as well as every other weekend to train with weekend leadership. The environment involves frequent phone communication, coordination with clinical departments, and use of office equipment and scheduling systems, with a professional office dress code appropriate for a healthcare setting.
