About the Opportunity
The Scheduling Assistant supports healthcare professionals by managing vital administrative workflows and patient scheduling tasks remotely. This virtual role is essential for streamlining clinical workflows and enhancing the patient experience through accurate multi-site appointment coordination and patient data management.
Responsibilities
- Manage multi-site patient scheduling, high-volume contact center queues, and digital communication channels efficiently
- Answer inbound calls professionally to schedule, reschedule, or cancel clinical appointments for new and existing patients across all practice locations
- Gather, verify, and meticulously document patient demographic details and initial medical histories directly within the electronic medical record (EMR) system
- Perform alternative administrative duties and support special operational workflows as assigned by clinical leadership
Requirements
- High school diploma or General Education Development (GED) equivalency
- Friendly, polite, and reassuring professional phone demeanor suited for front-line patient support
- Strong written and verbal English communication skills, with an emphasis on accuracy and clarity
- Deep empathy, active listening abilities, and a compassionate attitude when interacting with patients seeking care
- Highly self-motivated, detail-oriented, and capable of managing administrative tasks independently in a remote environment
- Proven ability to maintain strict patient privacy and adhere unconditionally to HIPAA guidelines and medical data regulations
- A dedicated, quiet, and entirely private home office workspace paired with a secure, reliable high-speed internet connection
- Strict geographic requirement: Must currently reside within the state of Alabama or Mississippi
- Prior experience handling medical scheduling, working in a healthcare call center, or operating within a clinical front office (preferred)
- Foundational training or certificates in healthcare administration, medical terminology, or electronic health records (EHR) systems (preferred)
Pay Range and Compensation Package
Target compensation framework: Hourly pay is determined dynamically based upon the candidate's prior healthcare administrative tenure, call center experience, and localized market benchmarks.

- Stable full-time operational schedule: Monday through Friday from 11:00 AM to 7:15 PM, alongside one (1) required Saturday shift per month from 6:45 AM to 12:45 PM
