Sales Operations Specialist I

About the role

RS Medical is seeking a detail-oriented and customer-focused Sales Operations Specialist I to join our Sales Operations team. The role supports the order management process by reviewing and validating orders, creating patient accounts, resolving discrepancies, and ensuring accurate order fulfillment. Key responsibilities include serving as a liaison among various stakeholders to ensure efficient and accurate order processing.

Responsibilities

• Review system-generated orders for accuracy and prepare them for fulfillment.
• Create patient accounts and manually enter or correct orders when necessary.
• Validate order details against purchase orders and supporting documentation.
• Ensure compliance with account, payor, and regulatory requirements.
• Identify and resolve discrepancies, documentation issues, and workflow errors.
• Communicate with internal and external stakeholders to gather information and resolve order-related concerns.
• Provide professional, responsive, and empathetic customer service.
• Proactively escalate issues that may impact order progression or fulfillment.
• Maintain knowledge of Workers' Compensation and Personal Injury Protection (PIP) processes and requirements.
• Support a positive team culture by sharing knowledge and collaborating with colleagues.
• Perform other duties as assigned.

Requirements

• High school diploma or GED, plus at least six months of experience in an office environment, or an equivalent combination of education and experience.
• Experience with Workers' Compensation and Personal Injury Protection (PIP) documentation and claim requirements.
• Proficiency with Microsoft Outlook, Word, and Excel.
• Strong computer skills and experience working with multiple software applications and web-based systems.
• Excellent attention to detail and accuracy.
• Strong organizational, analytical, and problem-solving skills.
• Able to manage multiple priorities in a fast-paced environment.
• Professional verbal and written communication skills in English.
• Customer-focused mindset and commitment to high-quality service.
• Able to adapt to changing systems, processes, and business needs.

Qualifications

• Bilingual in English and Spanish (preferred).
• Experience in healthcare, medical device, insurance, Workers' Compensation, or related industries (preferred).
