About the role
Peterson Cat has an immediate need for an experienced Sales Operations Administrator based at either the San Leandro, CA or Hillsboro, OR location. The role supports sales operations by processing invoices, managing post‑sale claims, handling commission vouchers, maintaining deal packets, and tracking Caterpillar PINS.
Responsibilities
- Process customer invoices for new, used, and rental equipment; report all new Caterpillar machine sales via PINS Report and create commission vouchers.
- Ensure timely invoicing to customers for new machine/attachment sales, used machine/attachment sales, monthly rentals (RPO’s), and rental services (CA only).
- Collaborate with Sales Management, Coordinators, Reps, Accounting, and EMS to maintain close tracking of invoices, initiate and track post‑sale claims from Sales Rep iQuote worksheet until full recovery of funds from Caterpillar.
- Keep current on Caterpillar Merchandising Programs to drive maximum utilization of all applicable “value‑add” claim options; ensure timely submission of claims and full recovery of funds claimed; file claims within the allotted time‑frame; keep 60‑Day Report at a manageable level (green status).
- Verify machine packet contents are complete and in proper order before filing to protect Peterson from audit violations; maintain electronic and hard copy files of equipment/attachment records as needed.
- Stay current on relevant department and company operational and administrative matters; look for ways to continuously improve and refine department processes to reduce wasteful steps.
- Maintain punctual, regular, and predictable attendance; operate company or personal vehicle as needed.
- Perform other administrative, clerical duties as assigned by manager; work overtime as needed within labor law guidelines; attend scheduled training, department, and safety meetings.
- Work collaboratively in a team environment; display excellent communication skills (presentation, persuasion, negotiation) and remain calm and courteous under pressure; respectfully take direction from supervisor/manager.
Qualifications
- High School Diploma or GED; minimum of three years of related experience in sales support, preferably in a heavy industrial environment; or an equivalent combination of education and work experience.
- Valid motor vehicle operator’s license and access to reliable transportation.
Pay
The California hourly pay range for this position is $35.55‑$41.00. A total compensation package is offered in addition to base salary.
