Sales & Marketing Administrative Assistant

About the role
The Sales & Marketing Administrative Assistant provides comprehensive administrative support, primarily to the Vice President of Sales & Marketing. This role reports directly to the VP of Sales & Marketing and involves coordinating daily operations, managing schedules, preparing reports, handling communication tasks, and maintaining strict confidentiality of sensitive information.
Responsibilities
- Proactively identify and assume administrative tasks that will support and open bandwidth for the VP
- Coordinate and schedule meetings and travel arrangements for the VP
- Prepare and edit correspondence, presentations, and reports, including expense reports
- Assist with Business Decision Week and other Senior Management Team meeting preparations and follow up
- Handle incoming calls, emails, and other communications, ensuring prompt and professional responses
- Manage the VP’s calendar and all associated demands of the VP’s time
- Support event planning and coordination, including trade shows, conferences, and promotional events
- Engage in the Sales and Marketing activity committee to plan events for our team members
- Monitor and manage office supplies and marketing materials inventory, as requested
- Collaborate with cross-functional teams to ensure seamless execution of projects
- Assist with managing employee vacation time and update the VP’s calendars with scheduled time off
- May provide administrative support to other senior leaders in the Sales and Marketing function, as needed, with prior approval from manager
- Provide coverage for the Front Desk / Receptionist role, as needed
- Perform other administrative tasks, as assigned
Requirements
- High School Diploma or GED
- 3+ years of proven relevant, applicable experience
- Excellent interpersonal and communication skills, both written and verbal
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer skills
- General understanding of electronic communications media
- Strong organizational skills with the ability to prioritize tasks effectively
- Attention to detail and accuracy in completing tasks
- Writing, editing, and communication skills
- Ability to maintain confidentiality
- Ability to work collaboratively and effectively with other teams within the organization
- Working knowledge of CRM/ERP system (SAP, JD Edwards, Oracle, Salesforce, or similar)
- Willingness to be available outside of normal business hours during occasional global travel by VP to address any potential travel-related disruptions
- Willingness to adapt to change and learn new responsibilities, as needed

Pay
Competitive market salary from $62,000 - $67,000 per year depending on qualifications and experience. For eligible Leadership and individual contributor roles, additional bonus opportunities may be available and awarded at the discretion of the Company.
