Responsibilities
- Plan and support internal and external meetings, retreats and conferences, including preparing agendas, technical talking points, taking minutes, coordinating logistics (travel, A/V, space reservations etc.), and tracking executive follow-up actions.
- Act as a point of contact for collaborators, vendors, and institutional partners in a professional and timely manner.
- Partner with Marketing and Communications to draft research press releases (e.g., Eureka Alerts) and other high-level external communications.
- Collaborate with the Development team to create and maintain major giving materials and help track partnership deadlines.
- Manage complex scheduling and strategic calendar coordination for the Chief Science Officer and associated research teams.
- Support documentation and organization of SOPs, contact lists, templates, and shared resources for the Office of the Chief Scientist.
- Coordinate cross-functional projects by tracking deliverables, deadlines, and dependencies across the research portfolio.
- Contribute to process improvements and operational execution to help support project completion in alignment with organizational policies and procedures.
- Provide coordination support for special projects and operational initiatives.
- Other duties as assigned.
Requirements
- Bachelor's degree and 5+ years of relevant professional experience required, or Master's degree and 3+ years of relevant professional experience.
- Degree in a scientific, research, healthcare, or related field.
Qualifications
- Scientific literacy to draft technical communications.
- Professional judgment and the ability to support executive priorities and special projects with limited oversight.
Skills
- Excellent organizational and time management skills.
- Strong communication and interpersonal skills.
- Ability to manage multiple tasks and projects simultaneously.
- Proficiency in Microsoft Office Suite.
