Manage and direct activities for the delivery of workplace services, operations, and asset planning, maintenance, and repair for an expanded portfolio. Accountable for overall delivery of portfolio management, including engineering services, site services, energy management, and environmental health & safety. Responsibilities include MSA compliance, adherence to business plans, budgetary control, capital planning, and oversight of daily operational activities.

Responsibilities

  • Lead coordination, delivery, and quality assurance of all C&W account services, ensuring adherence to client’s real estate standards of performance and needs.
  • Integrate service delivery across facilities management, commercial management, project services, brokerage services, and portfolio administration.
  • Initiate audit and control systems to ensure statutory, policy, and contractual commitments are satisfied.
  • Maintain customer focus within operational activities and build effective relationships with key client contacts.
  • Develop financial plans and goals for cost control/reduction, ensuring targets are met or exceeded.
  • Provide leadership, guidance, coaching, and support to deliver best practices in selection, training, assessment, and recognition/reward.
  • Support facility team leaders in driving operational and strategic goals.
  • Ensure effective business communications through leadership in team meetings, client briefings, and monthly reporting.
  • Maintain optimum staffing structures to balance coverage, performance, and service excellence.
  • Ensure the portfolio is staffed by skilled personnel, taking responsibility for hiring qualified staff and succession planning.
  • Develop a proactive approach to continuous improvement, sub-contractor performance, and key contract relationships.
  • Ensure SLA’s and KPI’s are achieved and aligned with contractual agreements; recommend remedial actions and process changes.
  • Ensure adoption and use of all required policies and procedures on site.
  • Ensure all works are competently completed and comply with legislative, environmental, health, and safety requirements.
  • Minimize commercial risk to the business.
  • Ensure Site Managers and Premises Coordinators maintain accurate, timely, and reliable management reporting.
  • Implement an account plan to enhance the value of the client’s portfolio, operating properties at peak efficiency without sacrificing quality.
  • Provide superior and responsive tenant/occupant services while ensuring compliance with life safety and crisis management rules.
  • Manage client assets in the most profitable or cost-effective manner, consistent with the management contract and account plan.
  • Maintain technical proficiency, industry knowledge, and communication skills to inform the client of property-specific issues and industry trends.
  • Oversee and standardize client reporting systems and procedures to ensure compliance with reporting standards.
  • Promote and adhere to established policies and procedures for standard assignment deliverables, business conduct, and integrity.
  • Ensure quality management of all C&W’s products and services.
  • Coordinate and resolve matters related to human resources, legal, and risk management at C&W levels.
  • Oversee budget preparation, capital planning, cash flow management, and production of monthly financial reports for accuracy and completeness.
  • Recruit, manage, and train facilities management staff to ensure understanding of standard operating policies and client objectives.
  • Develop, mentor, and coach staff to achieve organizational sustainability and career growth.
  • Facilitate and negotiate service contracts with outside vendors to balance performance and cost in compliance with C&W’s values and standards.
  • Ensure regulatory compliance and effective management of risk and liability for both C&W and the client.
  • Identify opportunities to expand C&W’s commercial relationship through value-added services.
  • Drive innovation through best practices, operational efficiency, and identification of industry trends and tools.
  • Support and provide leadership to achieve C&W’s and the client’s vision, mission, and values.

Requirements

  • Bachelor’s degree in Facilities Management, Corporate Real Estate, Project Management, or Business Administration (required).
  • Master’s degree in Business Administration or related field (preferred).
  • Minimum of 10 years of commercial high-rise, campus environment, property portfolio management, or facility management experience.
  • At least 6 years of experience at the Facility Manager level.
  • Broad commercial real estate and financial background with 12+ years of relevant experience as a portfolio/asset manager.
  • Expertise in facility/property operation and management, people management, vendor management, and capital planning.
  • Project/construction management experience (desired).
  • Experience with human resource and performance management processes.
  • Experience with critical system environments (preferred).
  • Workplace services experience (desired).
  • CMMS/Work Order Management experience (preferred).

Qualifications

  • In-depth understanding of client objectives and broad knowledge of the real estate life cycle.
  • Certified Facility Manager (CFM), Facilities Management Association (FMA), Certified Property Manager (CPM), Real Property Administrator (RPA), or Leadership in Energy and Environmental Design Accredited Professional (LEED AP) designation (preferred).
  • Strong financial management discipline, including financial tracking, budgeting, and forecasting.
  • Knowledge of Financial Systems (Yardi a plus).
  • Proficient in understanding management agreements and contract language.
  • Ability to develop and maintain a client-focused, partnering, and consultative approach.
  • Proficient in anticipating client needs, thinking strategically, and being solutions-focused.
  • Ability to identify service delivery and portfolio management improvement opportunities.
  • Skilled in developing recommendations that highlight the value-added benefits of outsourcing partnerships.
  • Ability to read and understand construction specifications and blueprints.
  • Skilled in Building Management Systems maintenance and monitoring.
  • Excellent computer and systems knowledge; strong literacy in Microsoft Office Suite (MS Word, Excel, PowerPoint).

Pay

$161,500.00 - $190,000.00
