About the role

The Workforce Staffing (WFS) team is seeking a non-exempt, Reduced Time (RT) Staffing Administrator to support the High-Volume Hiring (HVH) and staffing efforts for a defined geography (node). This role plays a crucial part in ensuring successful completion of administrative activities in the staffing process, enhancing the candidate and employee experience.

Responsibilities

  • Sets up, executes, and breaks down Pre-Hire Appointments (PHA) based on labor projections to meet the labor order demands and fill on-time.
  • Support candidate activity to ensure all electronic paperwork is completed on time.
  • Provide follow-up correspondence to candidates on recruiting status via phone and email.
  • Track recruiting activities and report candidate status.
  • Attend events such as community fairs, hiring events, and job fairs.
  • Address basic questions regarding the recruiting process.
  • Identify opportunities for improving candidate experience and scheduling efficiency.
  • Aid in the coordination of other recruiting activities as needed.
  • Assist in the onboarding of new hires and departures of employees.
  • Perform administrative tasks as needed.
  • Effectively execute PHA activities including Host, Candidate Care Specialist, Candidate Processing, Badge Photo, and/or Drug Test.

Requirements

  • Must be organized with attention to detail, able to prioritize, and work in a fast-paced environment.
  • Must be able to work flexible hours, including evenings and weekends, and travel as needed to various sites within the designated Node or geographical area.

Qualifications

  • High school diploma or equivalent.
  • Experience in administrative tasks such as data entry, managing data-driven report processes, or processes.
  • Experience using Microsoft Word, Excel, and PowerPoint.
  • Experience with accurate data entry and analysis.
  • Experience working with customers with a passion for delivering exceptional service or strong analytical skills, attention to detail, and effective communication abilities.
  • Experience troubleshooting and documenting findings or experience dealing effectively with customers during problem resolution and operating efficiently under pressure.
  • Can demonstrate strong verbal and written communication skills.
  • Associate's degree or higher preferred.
  • Experience in recruiting or HR.
  • Experience with contact management systems/applicant tracking systems for sourcing, tracking, and managing candidates.
  • 1+ years of system administration or 6+ months of technical support experience.
  • Knowledge of presentations and whiteboarding skills with a high degree of comfort speaking with internal and external executives, IT management, and developers.
  • Bi-lingual skills are a plus.
