About the role
The Recruitment & Hiring Specialist supports and coordinates recruitment, hiring, onboarding, and related administrative functions for Early Childhood Impact (ECI) staff. This role supports continuous program improvement by supporting full-cycle recruitment activities, onboarding, compliance tracking, candidate communication, and cross-functional coordination with Operations, Hiring Managers, and site leadership.
Responsibilities
- Develop, implement, and refine recruitment strategies aligned with ECI staffing goals.
- Carefully coordinate onboarding activities for new hires, including appointments, transitions into work assignments, and required documentation.
- Build and maintain partnerships to attract diverse, qualified candidates who reflect the communities served.
- Coordinate key aspects of the hiring process, including applicant review, screening, interview scheduling, interview panel coordination, reference checks, and pre-employment steps.
- Conduct or support candidate assessments to evaluate qualifications, experience, and alignment with YMCA mission and values.
- Serve as a point of contact for candidates and respond to inquiries regarding job openings, hiring status, and onboarding steps.
- With the team, develop, update, and maintain onboarding procedures, materials, tracking tools, and schedules.
- Coordinate with Human Resources, Workforce Development, Operations, and Center/site leaders to ensure timely staffing, file completion, and a positive onboarding experience.
- As needed, post, maintain, and monitor job openings and candidate pipelines across recruitment platforms.
- Maintain accurate files, data entry, and reporting related to staffing, licensing, funding, compliance, staff qualifications, and staff placements.
- Support tracking and facilitation of employee pre-employment and ongoing requirements, including health clearances, safety requirements, CPR, and other required certifications.
- Provide administrative support for day-to-day functions, including communications, staffing updates, and reporting systems.
- Market the program to potential employees using outreach campaigns, community engagement, and e-recruiting strategies.
- Ensure strong communication and coordination between ECI departments, HR, and administrative partners.
- Maintain confidentiality and handle sensitive candidate and employee information appropriately.
- Special projects and other duties as assigned.
Requirements
- AA degree or two years of equivalent coursework, BA preferred.
- Two years of experience in a high paced, diverse atmosphere; recruitment and workforce/job training preferred.
- Experience serving dual language and immigrant populations, non-traditional college students, first generation college students, and low-income workers is preferred.
- Strong organizational, customer service, written, and verbal communication skills.
- Proficiency in Microsoft Word, Excel, PowerPoint, Outlook, databases and other computer programs.
- Bilingual in Spanish preferred.
- Ability to manage multiple priorities and maintain a high level of confidentiality.
- Valid California Driver’s License/proof of auto insurance/annual DMV check required.
- Criminal record clearance and health requirements that include physical exam, TB screen and immunization.
Qualifications
- Functions are carried out in keeping with the Goals, Mission, and Policies of the YMCA of the East Bay.
- Under direction of the ECI Operations department.
Skills

- Bilingual in Spanish preferred.
