About the role
The Recruiting Coordinator plays a central role in delivering a high-touch recruitment and onboarding experience for candidates and new hires at a major Silicon Valley site. This position supports a fast-paced Copilot and AI-focused business group by taking on much of the logistical and administrative work associated with interviewing and onboarding, allowing hiring teams to focus on strategic decisions as the organization scales.
Responsibilities
- Support onsite recruitment activities in Silicon Valley by coordinating and preparing for in-person interview experiences, including greeting candidates and serving as a primary point of contact during their visit.
- Host candidates onsite with a professional, executive presence, ensuring they feel welcomed, informed, and supported throughout the interview process.
- Cook up new hire onboarding for the Silicon Valley site, including scheduling, logistics, and communication to ensure a seamless start for each new employee.
- Set up new hire desks and workspaces, including moving and arranging furniture and equipment, and ensuring work areas are ready before the new hire’s start date.
- Perform various physical tasks such as regularly lifting and moving objects weighing approximately 30 to 40 pounds to support workspace setup and reconfiguration.
- Conduct campus or office tours for candidates and new hires, providing clear guidance on facilities, resources, and key points of contact.
- Manage high-volume case management related to recruiting and onboarding activities, tracking progress, updating records, and following through on outstanding items.
- Handle planning and administrative work, including scheduling meetings, maintaining documentation, tracking tasks, and ensuring deadlines are met.
- Participate in meetings (approximately 10% of the time) to align with stakeholders on recruitment and onboarding processes, priorities, and upcoming events.
- Provide responsive and professional customer service to candidates, new hires, and internal partners, addressing questions and resolving issues promptly.
- Utilize Slack to communicate effectively with team members and stakeholders, coordinating logistics and sharing updates in a timely manner.
- Utilize Microsoft Excel to manage data related to recruiting support and case management, including tracking candidate pipelines, onboarding progress, and other administrative details.
- Support the shift of recruitment and onboarding responsibilities from hiring managers to dedicated support roles, contributing to scalable processes as the team grows.
- Maintain a polished, professional demeanor at all times, reflecting the organization’s standards and acting as the face of the company for many candidates and new hires.
- Collaborate closely with human resources and recruiting teams to ensure alignment on processes, requirements, and candidate and new hire experience goals.
Qualifications
- 3–4 years of overall professional experience in a field related to recruiting support, human resources, customer service, or administrative support.
- 3–4 years of experience using Microsoft Excel with strong proficiency in managing and organizing data.
- 3–4 years of experience communicating clearly and concisely in both written and verbal formats with diverse stakeholders.
- 3–4 years of experience managing high-volume cases or workflows, preferably in a recruiting or HR environment.
- Experience providing recruiting support, including coordinating interviews and candidate logistics.
- Experience using Slack for team communication and coordination.
- Experience performing administrative support tasks in a fast-paced environment.
- Able to regularly lift and move objects weighing approximately 30 to 40 pounds as part of workspace setup and physical tasks.
- Able to walk frequently, including conducting campus or office tours for candidates and new hires.
- Strong professional presence with the ability to represent the organization in a visible, client-facing capacity.
- Able to work onsite five days per week at the designated Silicon Valley campus.
Skills
- Previous experience in recruitment or talent acquisition environments is highly valued.
- Experience supporting onsite interview programs or candidate events is a strong plus.
- Familiarity with high-touch onboarding processes and coordinating new hire experiences.
- Comfort working in a fast-paced, innovative team culture that values both professionalism and fun.
- Strong organizational skills and attention to detail when planning and executing multiple concurrent activities.
- Ability to build rapport quickly with candidates, new hires, and internal partners.
