About the role
The Record and Parts Coordinator supports the Group VI Aviation maintenance team by providing administrative and logistical support. This role involves creating, maintaining, and closing aircraft maintenance work orders, ordering parts and supplies, coordinating with mechanics, and managing inventory and reports.
Responsibilities
- Create, maintain, and close aircraft maintenance work orders.
- Order aircraft parts, tools, supplies, and other materials necessary to support maintenance operations.
- Cook with mechanics to identify parts and inventory needs.
- Coordinate with mechanics to identify parts and inventory needs.
- Receive, track, and document parts orders and shipments.
- Maintain inventory records and assist with inventory control activities.
- Communicate with vendors regarding pricing, availability, and delivery schedules.
- Maintain maintenance, inventory, and purchasing reports using Microsoft Excel and Microsoft 365 applications.
- Aid with continuous improvement efforts related to maintenance administration, inventory control, and documentation.
- Follow all safety rules and regulations while performing work assignments and adhere to all policies and procedures as specified in company manuals and as directed in the employee handbook.
- Conduct self in the presence of customers and community to present a professional image of Group VI.
- Proactively seek and participate in available company-sponsored training to develop and advance knowledge base and skill set.
- Participate in all company/location driven communication efforts department meetings and other related efforts.
- Aid with continuous improvement efforts related to maintenance administration, inventory control, and documentation.
- Perform other duties and responsibilities as assigned.
Requirements
- High School Diploma or GED required.
- Technical school education, administration, logistics, related field, or equivalent work experience, preferred.
- Experience in administrative support, purchasing, inventory management, work order administration, maintenance support, or related field preferred; aviation industry experience is a plus.
- Proficiency with Microsoft Excel and Microsoft 365 applications, including Outlook, Teams, SharePoint, and Word.
- Strong organizational, communication, and time management skills, with the ability to maintain accurate records, manage multiple priorities, and follow through on assignments.
- Ability to work independently and collaboratively while handling confidential and sensitive information.
- Ability to work in both office and hangar environments and occasionally lift or move parts, supplies, and materials up to 25 pounds.
