About the role
Under minimal supervision, the Lead Receptionist is responsible for greeting patients and visitors into the clinic in a prompt, courteous, and professional manner. Serves as a liaison between patient and medical staff, ensuring all appropriate forms are complete, accurate, and according to company guidelines. Supports and adheres to the US Oncology Compliance Program, including the Code of Ethics and Business Standards.
Responsibilities
- Greets patients and visitors in a prompt, courteous, and professional manner.
- Obtains and updates demographic and insurance information, including copies of insurance cards and driver’s licenses.
- Registers all new patients into the system and prepares new patient charts.
- Notifies nursing staff of patient arrivals and organizes charts in appointment order.
- Assists in preparing charts for next-day appointments and prints schedules as needed.
- Collects co-pays, deductibles, and other out-of-pocket amounts at the time of visit.
- Distributes condolence cards to patients' families as requested.
- Maintains the lobby area in a neat and orderly manner.
- Identifies no-shows, cancellations, and reschedules, following practice tracking policy.
- Creates and maintains front desk staff schedules, ensuring proper daily coverage, including PTO and sick coverage.
- Travel to other sites may be required.
- Demonstrates an understanding of patient confidentiality.
- Follows policies and procedures to contribute to the efficiency of the front office.
- Covers for other front office functions as requested.
- Prepares correspondence, memos, forms, and other typing as requested by supervisor.
Requirements
- High school diploma or equivalent required.
- Minimum five years of office experience, preferably in a medical setting.
- Minimum two years of medical front desk lead experience.
Physical Demands
- Work may require sitting for long periods of time, as well as stooping, bending, and stretching for files and supplies.
- Occasionally lifts files or paper weighing up to 30 pounds.
- Requires manual dexterity sufficient to operate a keyboard, calculator, telephone, copier, and other office equipment.
- Vision must be correctable to 20/20 and hearing must be corrected to the normal range for telephone contacts.
- Must be able to view and type on computer screens for prolonged periods of time.
Work Environment
- Work is performed in an office environment with contact with patients and the public.
Schedule
Monday–Friday, 8 AM–4:30 PM
Pay
Hourly rate: $22–$24
