About the role
Our client is a healthcare organization seeking a dependable and customer-focused professional to support its Information Desk. This role is responsible for managing incoming communications, assisting patients and visitors, coordinating internal notifications, and responding to time-sensitive situations throughout the facility. Located in North Nashville, TN, the position is a contract-to-hire opportunity with an immediate need.
Responsibilities
- Answer and route incoming calls to the appropriate departments or personnel while providing helpful and professional customer service.
- Manage both routine and urgent communications, including paging staff and escalating emergency calls appropriately.
- Monitor emergency communication systems, including fire and medical emergency alarm panels, and initiate the appropriate notification procedures.
- Use email and internal communication platforms to relay important information to staff and designated contacts.
- Access internal systems and resources to obtain patient-related information, schedules, and other information needed to assist callers and visitors.
- Prepare and distribute daily physician service and coverage information to appropriate departments.
- Use company-issued mobile communication devices to contact staff and coordinate responses.
- Receive requests from departments throughout the facility and connect them with the appropriate personnel.
- Participate in emergency response procedures and assist with communications during code situations.
- Initiate staff call trees when required for emergency events, inspections, or other time-sensitive situations.
- Provide clear directions and general assistance to patients, visitors, vendors, delivery personnel, and other individuals accessing the facility.
- Maintain accurate records of emergency calls, overhead pages, electronic notifications, and other communications.
- Assist with requests involving regulatory personnel, media, volunteers, family members, and other visitors while following established procedures.
- Communicate with law enforcement, correctional personnel, and security contacts when matters involving patients or facility security require coordination.
- Process physician requests related to on-call coverage and communicate updates to the appropriate internal contacts.
- Maintain accurate desk records, directories, schedules, and reference information.
- Handle multiple calls, requests, notifications, and competing priorities simultaneously while remaining calm and professional.
Qualifications
- High school diploma or equivalent required.
- Previous receptionist, switchboard, call center, customer service, or healthcare experience preferred.
- Strong verbal communication and interpersonal skills.
- Professional and welcoming approach when interacting with patients, visitors, staff, and callers.
- Comfortable handling a high volume of incoming calls while maintaining accuracy and attention to detail.
- Basic computer skills and the ability to learn and navigate multiple systems.
- Ability to quickly locate and communicate information using internal resources.
- Strong multitasking and organizational abilities.
- Comfortable handling urgent or emergency communications in a calm and professional manner.
- Healthcare phone, switchboard, paging, or telecommunications experience is a plus.

Pay
$18-20/hour
Schedule
Full-Time, On-Site; Monday–Friday plus every other weekend.
