Receptionist/Facilities Assistant
About the role
The Receptionist/Facilities Assistant is the face of the workplace and a key representative of both Macro and the client. This is a highly visible role within a professional consultancy environment, where presentation, discretion, and attention to detail are essential. You will be responsible for delivering a consistently high standard of front-of-house service, supporting staff and visitors, and ensuring that the reception and meeting environments reflect the professionalism of a blue-chip organisation. The role works closely with Facilities Operations.
Key Responsibilities
- Front of House & Client Experience
- Act as the primary point of contact for visitors, guests, and staff, delivering a polished and professional first impression.
- Manage day-to-day front-of-house operations to ensure a seamless visitor and client experience.
- Build effective working relationships with client stakeholders and internal teams.
- Reception & Communications
- Manage reception and switchboard services, handling enquiries confidently and professionally.
- Ensure messages and requests are accurately captured and followed up in a timely manner.
- Workplace & Meeting Room Support
- Cook up meeting room bookings, access, and hospitality requirements.
- Support corporate meetings and events, ensuring spaces are prepared to a high standard.
- Work closely with the Facilities team to ensure reception and meeting areas are maintained, presentable, and fully operational.
- Administrative & Operational Support
- Provide general administrative support related to workplace operations, including access cards, IDs, and staff requests.
- Maintain accurate records, logs, and documentation in line with Macro procedures.
- Support onboarding and off-boarding activities in coordination with the HR and Operations teams.
- Maintain reception SOPs, systems, and shared documentation.
- Security, Access & Compliance
- Support day-to-day access control processes for staff, visitors, and contractors.
- Maintain accurate access records and support monitoring systems in line with site requirements.
- Escalate any issues that may impact safety, service delivery, or the client’s reputation.
- Finance & Support Services
- Aid with basic financial administration, such as petty cash handling, in line with Macro and client controls.
- Liaise with internal support teams and approved suppliers as required.
About You
The ideal candidate will have:
- Essential: Exceptionally well presented, professional, and confident in a front-facing role.
- Strong service mindset with pride in delivering high standards.
- Reliable, organised, and comfortable working in a structured corporate environment.
- Clear communication skills in English.
- Competent in Microsoft Outlook, Excel, and standard office systems.
Desirable: Experience in front of house, hospitality, corporate services, or facilities support. Exposure to professional services or blue-chip office environments. Genuine ambition to develop a long-term career within Facilities Management. Corporate Workplace Operations. Continuous Improvement mindset.
