About the role

PPI Quality & Engineering is seeking a Receptionist / Office Assistant.

Roles & Responsibilities

  • Greet and welcome guests as soon as they arrive at the office
  • Screen and forward incoming phone calls
  • Ensure reception and conference room areas are safe, tidy, and presentable
  • Provide basic and accurate information in-person and via phone/email
  • Receive, sort and distribute daily mail/deliveries
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitor logbook, issue visitor badges)
  • Restock and maintain organized kitchen/break area
  • Order office supplies and keep inventory in stock
  • Create and maintain office documents for general use (directory, floor plan, check log, etc.)
  • Organize, setup, and tear down luncheons for meetings and small events when needed
  • Manage shipping and basic logistics (FedEx, USPS, Courier, etc.)
  • Perform administrative duties including but not limited to expense reports, data entry, filing, photocopying, and faxing
  • Perform any additional support duties as assigned by the Office Manager

Required Education / Experience

  • A High School Diploma
  • Proven work experience as a Receptionist, Front Office Representative, or a similar role
  • Proficiency in Microsoft Office Suite and Adobe Acrobat
  • Hands-on experience with office equipment (e.g. fax machines and printers)
  • A professional attitude and appearance with strong interpersonal skills
  • Excellent written and verbal communication skills
  • Excellent organizational and time-management skills
  • Proven experience taking initiative in a dynamic and challenging work environment
  • Demonstrated ability to maintain integrity and confidentiality
