About the role
As our Receptionist, you will be the welcoming face of our facility and play an essential role in creating a positive experience for residents, families, visitors, and staff. We're looking for a dependable, professional, and compassionate individual to join our administrative team. This part-time role works Tuesdays, Thursdays, and Fridays—no weekends.
Responsibilities
- Operate the telephone switchboard by answering, screening, and forwarding calls, taking accurate messages, and providing information as needed.
- Welcome residents, families, visitors, vendors, and staff with professionalism and courtesy.
- Direct or escort visitors to their destination within the facility.
- Assist residents, family members, employees, and guests with questions and requests.
- Perform general administrative duties, including data entry, filing, copying, and word processing.
- Maintain facility security by monitoring visitor access, sign-in logs, and surveillance systems.
- Receive, sort, and distribute incoming mail, packages, and deliveries.
- Maintain confidential records and filing systems.
- Report resident concerns or unusual situations to the Administrator promptly.
- Monitor office and reception supply inventory and place orders as needed.
- Maintain the reception area in a clean, organized, and professional manner.
- Ensure proper use and care of office equipment and supplies.
- Perform other administrative duties as assigned.
Requirements
- High school diploma or equivalent required.
- Previous receptionist, administrative, or customer service experience preferred.
- Proficiency in Microsoft Office (Word, Excel, Outlook, and PowerPoint).
- Excellent verbal and written communication skills.
- Strong organizational skills with the ability to multitask and prioritize effectively.
- Professional appearance and positive attitude.
- Ability to remain calm, courteous, and resourceful in a fast-paced environment.
- Experience in healthcare or long-term care is a plus.
Physical Requirements
- Ability to move throughout the facility during the workday.
- Ability to communicate clearly in English, both verbally and in writing.
- Ability to work independently while maintaining professionalism and confidentiality.
- Ability to lift, push, pull, or carry up to 25 pounds and occasionally up to 50 pounds.
- Ability to assist during emergency situations, including resident evacuation if necessary.
