Receiving Coordinator
About the role
The Receiving Coordinator plays a crucial role in ensuring accurate inventory receipt and managing vendor relationships. This position supports PARR's mission of Legendary Service Through Teamwork by providing a seamless and efficient process for incoming materials.
Responsibilities
- Receive and count all inventory delivered to the yard, documenting counts on blind receiving pages.
- Validate material received matches Purchase Orders (POs).
- Inspect materials for damage or defects before unloading.
- Notify vendors of any discrepancies in inventory received or damaged goods.
- Pre-print the blind receiving page and appropriate label.
- Match POs to packing slips and electronically submit to Scantrack.
- Scan all blind receiving documents and Bills of Lading into Scantrack.
- Assist with semi-annual physical inventory.
- Confirm PO and address on the packing slip belong to their location.
- Ensure "cover sheets" are added to the PO prior to receiving in ERP system.
- Resolve variances with the Operational Inventory Controller (OIC).
- Operate a forklift according to company standards.
- Complete any required training.
- Assume responsibility for vendor returns, generate return POs, and contact vendors for pickup.
- Utilize vendor tracking forms (VOTIF) to enhance vendor performance.
- Understand product application and ensure proper labeling of special orders, inter-yard transfers, and vendor returns.
- Complete the receiving process by the end of each day (update PO in ERP, scan documents).
- Cross-train for Counter Sales, Lumberyard Associate, Material Returns Specialist (MRS), or Load Checker as needed.
- Open or close the location when necessary.
- Avoid back orders for quick resolution.
- Organize and maintain the "special order" area.
- Represent the company in a positive and professional manner.
- Handle oneself with professionalism during stressful situations.
- Communicate effectively both orally and in writing to internal and external team members.
- Briefly investigate and resolve basic situations where inventory counts are incorrect.
- Resolve negative quantity reports daily.
- Resolve more challenging inventory variances with thorough understanding of all processes impacting inventory.
Qualifications
- High school diploma or GED equivalent.
- Class C driver’s license or alternative transportation preferred.
- Ability to speak, write, and read English required.
- Familiarity with ERP systems and receiving/inventory control principles, practices, and protocols.
- Knowledge of dimensional lumber, panels, and other building products.
- Ability to operate a personal computer, smartphone, scanner, and other necessary equipment.
- Precision in following procedures.
- Ability to concentrate and attend to detail amidst a busy work environment.
- Ability to work independently and without supervision.
- Shoes that are puncture resistant, slip resistant, and made of leather or composite material required.

Physical Requirements
- Sit and/or stand and walk for extended periods of time.

- Able to utilize all appropriate safety equipment.
Working Conditions
This position works Monday-Friday between the hours of 7 a.m. and 4 p.m. It should be flexible to work extended hours as needed. This position works both indoors with a computer and outdoors in all weather conditions.
