QA/QC/Cx Administrative Assistant
Responsibilities
- Maintain organized and up-to-date QA/QC and commissioning documentation.
- Upload, distribute, and track documents in project management systems (Procore, ACC, CX Alloy, etc.).
- Maintain inspection reports, test records, turnover packages, punch lists, and commissioning documentation.
- Ensure all documentation is complete, accurate, and properly filed.
- Track NCRs/CARs, deficiencies, inspections, and commissioning activities.
- Maintain project logs and spreadsheets.
- Update dashboards and status reports daily or as required.
- Schedule inspections, testing, and commissioning activities with field teams.
- Distribute agendas and meeting minutes for meetings.
- Aid in the preparation of turnover packages and client deliverables.
- Act as a point of contact between QA/QC, commissioning, construction, subcontractors, and clients.
- Respond to requests promptly and professionally.
- Escalate missing documentation or schedule impacts to project leadership.
- Maintain project filing systems.
- Order office supplies and manage project administrative resources as needed.
- Support travel arrangements and scheduling when required.

Qualifications
- High school diploma or equivalent.
- At least 2 years of experience in a similar administrative role.
- Experience with project management software such as Procore, ACC, CX Alloy, etc.
- Strong attention to detail and ability to manage multiple tasks simultaneously.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite.
