QA/QC/Cx Administrative Assistant

Responsibilities

  • Maintain organized and up-to-date QA/QC and commissioning documentation.
  • Upload, distribute, and track documents in project management systems (Procore, ACC, CX Alloy, etc.).
  • Maintain inspection reports, test records, turnover packages, punch lists, and commissioning documentation.
  • Ensure all documentation is complete, accurate, and properly filed.
  • Track NCRs/CARs, deficiencies, inspections, and commissioning activities.
  • Maintain project logs and spreadsheets.
  • Update dashboards and status reports daily or as required.
  • Schedule inspections, testing, and commissioning activities with field teams.
  • Distribute agendas and meeting minutes for meetings.
  • Aid in the preparation of turnover packages and client deliverables.
  • Act as a point of contact between QA/QC, commissioning, construction, subcontractors, and clients.
  • Respond to requests promptly and professionally.
  • Escalate missing documentation or schedule impacts to project leadership.
  • Maintain project filing systems.
  • Order office supplies and manage project administrative resources as needed.
  • Support travel arrangements and scheduling when required.

Qualifications

  • High school diploma or equivalent.
  • At least 2 years of experience in a similar administrative role.
  • Experience with project management software such as Procore, ACC, CX Alloy, etc.
  • Strong attention to detail and ability to manage multiple tasks simultaneously.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite.
