Purchasing Coordinator

About the role
The Purchasing Coordinator supports day-to-day procurement operations by executing purchase orders, coordinating material deliveries, tracking backorders, and maintaining accurate purchasing records. This role ensures materials and equipment are ordered accurately and delivered on time to support project and service operations. Working closely with Project Managers, field leadership, vendors, and the Procurement team, the Purchasing Coordinator drives consistency and follow-through in purchasing activities. This is a hands-on, execution-focused position suited for someone who is organized, responsive, and comfortable managing multiple priorities in a fast-paced construction environment.
Responsibilities
- Issue and manage purchase orders in BuildOps in accordance with company policies and project requirements.
- Track order status, monitor delivery schedules, and proactively follow up with vendors to ensure on-time material receipt.
- Coordinate closely with Project Managers and field leadership to process material requests and confirm order details.
- Review packing slips and invoices for accuracy against purchase orders and assist in resolving discrepancies.
- Manage backorders, returns, substitutions, and material issues to minimize project disruption.
- Maintain accurate purchasing records, including pricing, vendor information, and delivery timelines.
- Assist in maintaining vendor files, price lists, and preferred vendor documentation.
- Support vendor rebate tracking, reporting, and other procurement initiatives as directed.
- Assist with basic material forecasting and bulk purchasing efforts when applicable.
- Communicate clearly and professionally with internal teams and vendors to ensure consistent follow-through.
Requirements
- 2+ years of purchasing or procurement experience, preferably in the construction industry.
- Familiarity with construction materials and equipment, particularly for mechanical and plumbing trades.
- Strong attention to detail and organizational skills.
- Experience with BuildOps or other construction ERP software preferred.
- Proficient in Microsoft Excel, Outlook, and other common office tools.
- Strong written and verbal communication skills.
- Ability to work independently and as part of a team.
