Purchasing Coordinator
About the Role
This position is responsible for the clerical and administrative functions for Purchasing. It processes approved requisitions into Purchase Orders (POs), communicates purchase requirements with suppliers, and maintains a database to verify pricing and track all orders. This position also works with suppliers and contractors to correct order problems such as incorrect pricing, obtaining proof of delivery, tracking deliveries, etc.
Responsibilities
- Daily processing of approved requisitions into Purchase Orders in a timely and accurate manner.
- Ensure compliance with company Purchasing policies and procedures.
- Check existing orders to ensure accuracy compared to the placed Purchase Order and confirm delivery and lead times with suppliers.
- Maintain and update pricing databases and vendor records.
- Collaborate with internal departments (e.g., Processing, Maintenance) to clarify purchasing needs.
- Work with vendors to resolve discrepancies with orders or invoices such as incorrect pricing, tracking and obtaining proof of delivery, damaged or returned items, etc.
- Run appropriate reports for inventory control and costs.
- Support the Purchasing Manager with administrative tasks as needed.
- Maintain a safe and positive work environment in compliance with OSHA, company standards, local, state, and federal requirements.
Requirements
- Minimum High School Diploma or GED required.
- 1 - 3 years' relevant experience.
- Experience in purchasing/parts room inventory or vendor relations preferred.
- Proficiency in inventory management, purchasing, supply chain, financial or warehouse management software such as Oracle, Microsoft Office applications.
- Strong attention to detail and organizational skills.
- Effective written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Basic understanding of supply chain and procurement principles.
- Ability to work independently and as part of a team.
This role may require occasional interaction with processing and/or warehouse environments.
