About the role

The Prospect Management Specialist will prioritize and leverage Prospect Management's resources to support the university's ongoing fundraising efforts. Specifically, this individual will provide decision and process support for Prospect Management in guiding practices and procedures. As such, this individual will be essential for consulting with major gift officers and filling the need to provide training and consultation to annual gift officers, leadership officers, and development coordinators.

Responsibilities

  • Builds and maintains partnerships with a dedicated number of major gift officers and campus stakeholders to effectively manage prospect assignments by providing insights for prospect strategy through ongoing portfolio and pipeline analyses and consultations.
  • Works with impacted staff to assess Prospect Management policies and procedures, serving as the Prospect Management liaison to annual gift officers, leadership officers, and development coordinators as needed.
  • Maintains organizational hierarchy in the database and ensures accurate and timely data entry and updates.
  • Supports and promotes the Prospect Management program, directing strategy meetings, routine reporting on cultivation activities, and developing solicitation strategies.
  • Assists fundraisers in achieving an effective and healthy balance in their portfolios by being available on an as-requested basis to any development officer and conducting scheduled portfolio reviews.
  • Oversees the monthly interactions review process to ensure timely and efficient development officer fundraising activity reporting.
  • Pairs with other members of the Research and Prospect Management team to review potential donors and advise fundraisers on the best way to manage those relationships.
  • Leads quarterly portfolio management meetings to ensure that fundraiser donor lists remain healthy and that activity goals are met.
  • Trains fundraising staff and facilitates prospect strategy sessions.
  • Serves as a collaborative bridge across fundraising teams, leveraging data and relationship-management skills to keep everyone aligned and the University’s fundraising efforts on track.

Requirements

  • Bachelor’s degree in a related field or equivalent
  • Three plus years of full-time professional experience in relationship management, prospect research, development, sales, marketing, business administration, higher education, or project management
  • Advanced degree in a field demonstrated to have some relevance to this position
  • Knowledge of University policies and procedures
  • Previous development experience and/or a background in a non-profit or educational institution are preferred
  • Blackbaud CRM or other fundraising software experience is desirable
  • Experience using Qlik Sense (analytics software platform) or data visualization tools

  • Ability to keep accurate records and complete timely reports
  • Ability to maintain confidentiality of sensitive information
  • Ability to communicate effectively, both orally and in writing
  • Ability to prioritize and handle multiple projects simultaneously
  • Ability to analyze and synthesize information, set priorities, and meet deadlines
  • Excellent organizational skills and attention to detail
  • Ethical, mature individual who will exercise discretion regarding sensitive and confidential information
  • Solid knowledge of database management and spreadsheet software
  • Experience with Excel and other information management databases; Ability to adapt to and use future technologies
  • Experience prioritizing duties and achieving planned goals for a complex program
  • Familiarity with fundraising software
  • Excellent meeting facilitation and presentation skills

Schedule

8:00am–5:00pm; Willing and able to work evenings and weekends, as necessary.
