Property Clerk

Position Summary

The University of Southern Mississippi is seeking a Property Clerk to prepare and maintain necessary data for recording personal property. Responsibilities include printing and logging purchase orders, assigning asset numbers, maintaining databases, and conducting inventory audits.

Primary Duties And Responsibilities

• Prints and logs all purchase orders meeting State guidelines, prints tags for and logs asset numbers assigned to each qualifying asset, and maintains database for all such transactions.
• Assists in assigning asset numbers to all equipment purchases or donations to the University that meet State guidelines in a timely and efficient manner.
• Completes an Acquisition Receipt on each asset sent out, and coordinates information needed on the personal property in preparation for entry by the Senior Property Accounting Clerk into the asset management program.
• Maintains filing system for all Purchase Orders, Acquisition Receipts, and Property Affidavits completed.
• Prepares outdated documents for shredding.
• Affixes asset numbers to assets when returned for repair or transferred to other state or out-of-state institutions, and updates information of the repaired item, e.g., new serial number, and replaces the tag when returned.
• Reviews and researches outdated purchase orders and incomplete purchase orders for final resolution.

Minimum Qualifications

• A high school diploma or equivalent;
• One to three months related experience and/or training;
• Valid Mississippi Driver's License (occasional travel to and from other USM campuses required).

Knowledge, Skills & Abilities

• Previous experience with an asset management program;
• Proficient in Microsoft Word and Excel;
• Excellent oral and written communication skills.
