Project Coordinator (Mission Critical/Data Center)

About the role

The Project Coordinator supports the Project Manager and project teams with administrative duties throughout the project lifecycle. They assist in coordinating with the project team during the proposal process, maintaining project calendars, scheduling meetings, reviewing project financials, and creating and maintaining project documents.

Responsibilities

  • Coordinate with the project team during the proposal process to ensure all deadlines are met and reviews have been completed.
  • Support the project manager with internal communications and follow-up.
  • Maintain project calendar including project deliverables, QC deadlines, and publishing to the project team.
  • Aid in scheduling internal team meetings, project kick-offs, design reviews, etc.
  • Aid in reviewing project financial reports and communicating issues to the project team.
  • Create and maintain project Smart Sheets and document file storage.
  • Aid in tracking invoices and project payments.
  • Aid the project manager in reviewing deliverables during project deadlines to ensure projects meet all internal compliance requirements.
  • Aid the project team in receiving, filing, distributing, processing, tracking due dates, and responding to RFI’s, submittals, and responses.
  • Provide support for editing and formatting of specifications.
  • Aid in preparing materials required for project pursuit.
  • Aid in processing contracts and sub-consultant contracts.
  • Attend project, department, and team meetings and take meeting notes. Distribute meeting notes internally and externally as required.
  • Aid in generating project financial management reports.
  • Aid in tracking scope changes and updating project budgets accordingly.
  • Create and maintain project document file storage within the standard project directory structure.

Requirements

  • High School Diploma or GED
  • 5+ years of experience
  • Deadline-oriented, able to track and maintain and meet multiple concurrent deadlines
  • Excellent verbal, written communication and problem-solving skills
  • Familiarity with MS Office applications including Word, Excel, Outlook, PowerPoint, and familiarity with Bluebeam and Smartsheet is advantageous
  • Familiarity with cloud-based file sharing platforms such as SharePoint, ShareFile, Newforma, Dropbox, Box, etc. is advantageous
  • Strong computer and typing skills
  • Self-motivated and flexible to take on new tasks and assist teams
  • Strong willingness and eagerness to learn

Pay

Expected Hourly (all locations): $29.00-$35.00
