Project Coordinator (Mission Critical/Data Center)
About the role
The Project Coordinator supports the Project Manager and project teams with administrative duties throughout the project lifecycle. They assist in coordinating with the project team during the proposal process, maintaining project calendars, scheduling meetings, reviewing project financial reports, and assisting with contract processing.
Responsibilities
- Coordinate with the project team during the proposal process to ensure all deadlines are met and reviews have been completed.
- Support the project manager with internal communications and follow-up.
- Maintain project calendar including project deliverables, QC deadlines, and publishing to the project team.
- Aid in scheduling internal team meetings, project kick-offs, design reviews, etc.
- Aid in reviewing project financial reports and communicating issues to the project team.
- Avoidance of creating project Smart Sheets and document file storage.
- Avoidance of assisting in editing and formatting of specifications.
- Avoidance of preparing any materials required for project pursuit.
- Avoidance of processing contracts and sub-consultant contracts.
- Avoidance of attending project, department, and team meetings and taking meeting notes.
- Avoidance of distributing meeting notes internally and externally as required.
- Avoidance of generating project financial management reports.
- Avoidance of tracking scope changes and updating project budgets accordingly.
- Avoidance of creating and maintaining project document file storage within the standard project directory structure.
Requirements
- High School Diploma or GED
- 5+ years of experience
- Deadline-oriented, ability to track and maintain and meet multiple concurrent deadlines
- Excellent verbal, written communication and problem-solving skills
- Proficiency in MS Office applications, including Word, Excel, Outlook, PowerPoint, and others
- Familiarity with Bluebeam and Smartsheet is advantageous
- Familiarity with cloud-based file sharing platforms such as SharePoint, ShareFile, Newforma, Dropbox, Box, etc. is advantageous
- Strong computer and typing skills
- Self-motivated and flexible to take on new tasks and assist teams
- Strong willingness and eagerness to learn

Pay
Expected Hourly (all locations): $29.00-$35.00
