Responsibilities
- Manage document control processes, including filing, scanning, electronic records management, and hard-copy document production.
- Cookordinate project meetings, communications, and administrative activities to support successful project delivery.
- Administer quality management procedures for project documentation and deliverables, including editorial review, proofreading, formatting, and compliance checks.
- Povide contract administration and procurement support throughout the project lifecycle.
- Create, maintain, and organize specifications, technical documentation, and project records.
- Process subcontractor invoices and coordinate vendor payment activities.
- Manage Request for Information (RFI) and submittal workflows, ensuring timely review and distribution.
- Compile project reports, documentation packages, and project closeout materials.
- Enter and maintain fee proposals within the fee review system.
- Support proposal development efforts by maintaining templates, coordinating inputs, and tracking submission requirements.
- Enter and monitor Estimate-to-Complete (ETC) hours within the BST Resource module.
- Track project progress, including percentage complete, budget utilization, and cost performance.
- Maintain earned value management (EVM) tracking tools and reporting, where applicable.
- Document project scope changes and support change management processes.
- Set up projects, budgets, and project enrollments within BST.
- Maintain project management documentation, including project management plans, risk registers, change logs, action item registers, and related records.
- Develop, update, and monitor project schedules to support project planning and execution.
- Enter and maintain resource planning information within eResource and BST systems.
- Support daily office operations, including meeting coordination, event planning, mail distribution, fleet vehicle coordination, and administrative support for office leadership.
Requirements
- High school diploma or GED required; bachelor’s degree preferred.
- 2–5 years of project coordination, project administration, or related experience.
- Advanced proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, and SharePoint.
- Advanced Adobe Acrobat skills; Bluebeam experience preferred.
- Strong knowledge of document control and document management systems.
- Experience with project management software and tools preferred, including BST, Autodesk Construction Cloud (ACC), SpecLink, SpecsIntact, and Bentley ProjectWise.
- Strong analytical, organizational, and problem-solving skills.
- Excellent verbal and written communication skills with the ability to interact effectively with clients, project teams, and stakeholders.
- Demonstrated ability to manage multiple priorities and projects in a fast-paced environment.
- Highly detail-oriented with strong follow-through, accuracy, and accountability.
- Proven ability to work independently while contributing effectively within a collaborative team environment.
