Project Coordinator / Customer Operations Coordinator
About the role
We are hiring a Project Coordinator / Customer Operations Coordinator to support a leading medical device company that specializes in advanced patient simulation technology used in healthcare training environments. This role serves as a central point of contact between customers, internal teams, distribution partners, finance, and banking partners to ensure orders move smoothly from purchase order submission through fulfillment. The environment is highly relationship-driven and customer-focused, with a strong emphasis on follow-through, problem-solving, and providing a white-glove customer experience.
Responsibilities
- Process customer purchase orders and manage order entry activities with a high level of accuracy
- Serve as a primary point of contact for both new and existing customers throughout the order lifecycle
- Coordinate with internal teams including Finance, Subscription Services, Order Management, and Distribution
- Provide a white-glove customer experience by ensuring customer questions, issues, and requests are handled promptly and professionally
- Research and resolve order discrepancies, payment issues, and fulfillment concerns
- Work directly with banking partners when necessary to investigate and solve payment-related issues
- Maintain detailed and accurate records within Salesforce and other business systems
- Support customers through the ordering process while ensuring all required information and documentation are completed correctly
- Handle a mix of administrative work, data entry, and customer communication
- Manage multiple priorities simultaneously while maintaining strong attention to detail
Requirements
- Strong customer service and relationship-building skills
- Excellent communication skills, both written and verbal
- High attention to detail and organizational abilities
- Strong problem-solving mindset and ability to navigate complex customer situations
- Experience using Microsoft Office Suite
- Ability to learn and work within Salesforce or similar CRM systems
- Comfortable handling phone calls as part of the role (approximately 10-20% of the day)
- Ability to work independently while managing multiple tasks and deadlines
Nice to Have
- Order processing or order management experience
- Purchase order (PO) experience
- Experience working with finance, billing, banking, or payment-related processes
- Customer operations, account coordination, or project coordination experience
- Salesforce experience
- Experience in healthcare, medical device, distribution, logistics, or manufacturing environments
Pay and Benefits
The pay range for this position is $20.00 - $25.00/hr. Eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
