About the role

Retail First, located in Elgin, IL, is seeking a highly organized and customer-focused Customer Service / Project Management Coordinator.

Responsibilities

  • Answer Incoming Calls: Serve as the first point of contact for customers, responding professionally to inquiries and providing prompt support.
  • Create Sales Orders: Accurately enter customer orders into the ERP system, ensuring complete and correct order details.
  • Create Purchase Orders: Generate purchase orders to support inventory needs and project requirements.
  • Create Shipping Orders: Process shipping documentation and coordinate with warehouses and delivery teams to ensure timely dispatch.
  • Order Follow-Up: Monitor sales, purchase, and shipping orders to ensure timely processing and issue resolution. Proactively communicate with customers and suppliers regarding order status.
  • Customer Inquiries: Respond to questions regarding order status, delivery timelines, and product information with clarity and professionalism.
  • Affiliate Responsibilities: Assist in planning and tracking project milestones to ensure deadlines are met.
  • Support project managers with documentation, scheduling, and internal communications.
  • Career Coordination: Coordinate with internal teams, vendors, and customers to ensure seamless project execution and high customer satisfaction.
  • ERP & Data Management: Utilize the ERP system to manage order data, track inventory levels, and generate reports.
  • Excel: Use Excel to maintain order tracking spreadsheets, analyze data, and support reporting.

Qualifications

  • Experience: Prior experience in customer service, order management, or project coordination. Experience in retail, manufacturing, or supply chain environments preferred.
  • Technical Skills: Experience with ERP systems (e.g., SAP, Oracle, or similar platforms). Strong proficiency in Microsoft Excel (data tracking, reporting, analysis).
  • Core Competencies: Excellent verbal and written communication skills. Strong organizational and multitasking abilities. High attention to detail and accuracy. Ability to work independently and collaboratively in a team environment.
