Responsibilities
- Project Coordination
- Manage project workflow from sales approval through completion
- Clock project scheduling (including project readiness and deposit collection)
- Communicate project details/updates between sales, customers, and field teams
- Track project progress and identify potential coordination issues
- Verify materials lists and delivery times to support project staging
- Site visitation to ensure quality outcomes, customer satisfaction, and positive team morale
- Project Administration
- Review technician paperwork and job documentation
- Maintain technician timesheets related to projects
- Ensure project documentation is complete and organized
- Aid in project closeout and coordination with billing
- Purchasing
- Order materials, venting, equipment, and specialty components
- Coordinate with vendors and suppliers
- Track purchase orders and delivery timelines
- Verify order accuracy and maintain purchasing documentation
- Safety Program Coordination
- Maintain company safety documentation and records, including incident reports and OSHA logs
- Coordinate safety meetings, training sessions, and toolbox talks
- Track technician safety certifications and training requirements
- Maintain safety documentation such as SDS binders and equipment records
- Aid in incident documentation and coordination with safety consultants when needed
- Minimum 2 years of experience in project coordination, project management, construction operations, field service operations, or a similar role
- Experience coordinating multiple active projects involving scheduling, materials, subcontractors, field crews, or customers
- Strong organizational skills with the ability to manage competing priorities and deadlines
- Comfortable communicating with customers, vendors, technicians, and management
- Proficient with business software, project tracking systems, and Microsoft Office or Google Workspace
- Construction, home services, remodeling, HVAC, roofing, chimney, fireplace, masonry, plumbing, electrical, or related industry experience preferred
- Experience with purchasing, inventory coordination, or material procurement preferred
- Experience supporting safety programs, OSHA documentation, or compliance initiatives preferred
