About the role

Pivotal Consulting is seeking a Project Coordinator / Communications Consultant to support coordination, communications, and project management activities for complex, multi-stakeholder initiatives with regional operational impacts. The role will help organize meetings, prepare materials, support planning efforts, and maintain clear communication among internal teams and external partners. The consultant will also assist with developing concise messaging from technical information for a variety of audiences.

Responsibilities

  • Provide project management, administrative, and coordination support for assigned work.
  • Track tasks, timelines, deliverables, and meeting actions.
  • Prepare monthly progress updates and supporting documentation.
  • Support planning and facilitation of recurring workgroup meetings.
  • Develop agendas, presentations, graphics, and follow-up notes.
  • Coordinate logistics, presenter outreach, scheduling, and participant communications.
  • Maintain shared workspaces, inboxes, and document repositories.
  • Assist in developing workplans, briefing materials, reports, and coordination documents.
  • Support process improvements and other coordination needs assigned.
  • Support multiple workgroups focused on:
    • Executive or leadership coordination.
    • Senior-level operational alignment.
    • Planning and performance.
    • Communications and public information.
    • Transportation demand management or similar coordination efforts.

Deliverables: Meeting agendas and notes, presentations and supporting materials, workplans and reports, briefing papers, shared file management and coordination tools, monthly status updates and invoices, where applicable.

Requirements

  • Bachelor’s degree or equivalent experience.
  • At least five years of related experience.
  • Experience with strategic planning, meeting coordination, and stakeholder engagement.
  • Experience translating technical or operational information into clear talking points.
  • Strong communication, organization, and project management skills.

Pay

The pay range for this position in Washington is $45-$50/hr W2 plus benefits.
