Job Summary
This contract position offers an opportunity to play a vital role in coordinating project activities, maintaining comprehensive project documentation, supporting executive reporting, and facilitating effective communication across multidisciplinary teams. The ideal candidate has experience supporting engineering, construction, or capital projects and excels in a fast-paced environment managing multiple priorities.
Responsibilities
- Capture detailed meeting minutes and track action items through to completion.
- Maintain project schedules, monitor milestones, and coordinate efforts across multiple teams.
- Provide daily administrative support to the project leadership team.
- Maintain and organize project documentation within SharePoint, ensuring proper version control, classification, and archiving.
- Manage document libraries and uphold standardized folder structures.
- Keep project logs, including action items, decision registers, and lessons learned.
- Compile project data to prepare weekly and monthly status reports.
- Create and maintain standardized reporting templates and dashboards.
- Serve as a central point of coordination among project managers, engineers, procurement, construction, and other stakeholders.
- Facilitate communication and ensure timely distribution of project information.
- Support project management activities to help maintain schedules, organization, and overall project execution.
- Affiliate with special projects and administrative tasks as assigned.
- Assist with continuous improvement initiatives for project coordination and document management processes.
Requirements
- Bachelor’s degree preferred; equivalent project coordination experience will be considered.
- Minimum of 3 years of experience in project coordination, administration, or controls.
- Experience supporting engineering, EPC, construction, or capital projects is highly desirable.
- Strong knowledge of the energy, midstream, oil & gas, utilities, or industrial sectors is preferred.
- Advanced proficiency in Microsoft Office Suite, especially PowerPoint, Excel, Outlook, and Word.
- Experience with SharePoint and document management systems.
- Exceptional organizational skills with keen attention to detail.
- Excellent written and verbal communication abilities.
- Ability to manage multiple priorities in a deadline-driven environment.
- Knowledge of project documentation and control best practices is a plus.
- Familiarity with project management methodologies and cross-functional team collaboration is advantageous.
