About the role
Fiedler Group is a Pasadena-based Engineering & Design firm with over 60 years of experience serving Fortune 500 companies. We are currently seeking a Project Controls Administrator who is passionate about Project Management and eager to take on new challenges.
Responsibilities
- Assisting project managers in all administration functions and processes, such as creating and maintaining job files, setting up new consultants, and compiling filing package exhibits.
- Aiding in the preparation of applications, compiling filing package exhibits, requesting required checks, and submitting permit packages as needed.
- Verifying and documenting subconsultant paperwork, including insurance certificates and Purchase Orders.
- Maintaining document control for compliance with policies and procedures.
- Accurately and timely entering project status notes into the proprietary Project Tracking System.
- Supporting the Project Manager in program/project financial management, including preparing and submitting reports, specifications, correspondence, spreadsheets, and presentations.
- Preparing cost proposals for additional work, including tracking Time & Material work.
- Utilizing financial systems to assist the Project Manager in reviewing project financial performance.
- Interfacing and maintaining liaison with project management, clients, subcontractors, and others on all planning and scheduling-related items and functions, including reporting requirements, progress status, new impacts, etc.
- Assisting in the preparation of cost proposals for additional work including tracking Time & Material work.
- Attending project meetings and documenting minutes to ensure that all open action items are closed out.
- Working cooperatively with co-workers, clients, and vendors.
- Cross-training as needed in other administrative areas and performing other duties as assigned.
Qualifications
- AA/BA/BS degree in business, management, design, or operations is desired.
- Minimum 4 years of relevant experience in an engineering, architecture, or consulting environment is preferred.
- Experience in billing/invoicing and purchase orders is required.
- Working knowledge of Microsoft Office Suite applications is required.
- Exceptional verbal, written, and presentation skills are essential.
- An organized approach to managing daily activities, the ability to juggle multiple demands efficiently and productively, and the ability to handle confidential assignments with discretion are required.
- A self-starter, flexible, and team-player with strong problem-solving, strategic, and creative thinking, and decision-making abilities are necessary.
- The ability to deliver high-quality work is essential.
