Qualifications

To qualify for this position - applicants must meet all requirements by the closing date of this announcement - 07/24/2026.

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05.

The grade may have been in any occupation - but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year - it may not clearly demonstrate you possess one-year time-in-grade - as required by the announcement.

You may qualify based on your experience and/or education as described below:

  • Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization
  • Maintain office compliance regarding regulations - policies - and guidelines as established.
  • Utilize a range of software applications (Word - Excel - Outlook - etc.) to prepare correspondence.
  • Interprets policies - regulations - legislation - as necessary to accomplish assigned tasks.
  • Proficient in written and oral communication
  • Schedule and review work activities performed in an office - including reporting and record keeping.

Duties

Serves as office supply coordinator and maintains par level inventory of office supplies and alerts assigned areas of ordering timeframes to ensure adequate ordering lead time

Reviews order requests for duplicates and identifies areas of excess ordering

Performs research for applicable law - FSC (Financial Service Center) guidance - and PL (Public Law) references to appropriately post employee payroll via govTA (VATAS)

Ensures all time is posted to employee timecards in accordance with BPVAHCS timelines and procedures

Provides guidance and education to staff members and members of management on applying for special leave programs administered by the Leave and Benefits teams of Human Resources like Donated Leave and Family Medical Leave Act

Serves as a Records Liaison Officer for assigned service lines

Serves as a PIV Sponsor for assigned services which includes issuance - renewal - or replacement of PIV for staff members

Serves as a Talent Management Systems (TMS) Administrator by tracking training of staff under Patient Care Services by pulling reports - assigning training - updating training and removing as directed by the Chief Nurse or delegate

Collects - compiles - and tracks data and statistical information in support of Patient Care Services including but not limited to AcuStaf - VistA/CPRS - govTA (VATAS) IPEC - SAIL Report - G-chart - NDNQI - and VSSC

Receives requests from other sources and determines the best method of obtaining - computing and reporting data

Participates in the collection - compilation - and tracking of data and statistical information in support of Patient Care Services including but not limited to AcuStaf - VistA/CPRS - govTA (VATAS) IPEC - SAIL Report - G-chart - NDNQI - and VSSC

Physical Requirements

The work is primarily sedentary - although some slight physical effort may be required. There may be some walking - standing - stooping - bending - carrying light items such as papers - books - or small parts - etc. Concentration and sustained performance under prolonged stress is required because of the time factors involved in completion of work assignments within deadlines.

Incumbent is responsible for daily cross coverage of various services under the ADPCS as assigned.

Incumbent may be susceptible to eyestrain from working long hours on the computer.

Incumbent must remain emotionally stable under stressful situations.

Preferred Experience

Knowledge of office procedures - document preparation - and filing systems

Strong verbal and written communication skills are important

Experience in VA or healthcare settings is desirable but not required

Experience in federal regulations - privacy requirements (PHI/PII) and VA specific systems

Provide administrative support in a fast-paced environment - proficiency in computer applications - and direct interaction with diverse clientele.
