About the role
The incumbent serves as program assistant for Patient Care Services, actively participating in the management of a variety of technical and administrative functions.
Responsibilities
- Utilizing data obtained from a variety of sources, independently calculates/computes, prepares, and distributes various reports and special analyses or reviews for use by the hospital and service administrative staff and program officials, ensuring accuracy, completeness, and timeliness.
- Uses computer applications proficiently and manages hardware and software systems (including Microsoft Word, Excel, Outlook).
- Provides primary support for service, including coordinating communications for staff and patients/families; prioritizing messages and notifying staff appropriately for necessary action.
- Enters and retrieves patient/program data and assimilates reports.
- Manages inquiries and problem-solves customer concerns, referring to program officials as appropriate.
- Clerical duties such as timekeeping, faxing, filing, typing, using computer applications, coordinating meetings efficiently.
- Prepares minutes, exercising independent judgment to determine important aspects for appropriate inclusion or deletion.
- Maintains confidentiality of sensitive information at all times in accordance with medical center policy, directives, and other applicable requirements.
- Assumes responsibilities for other duties when assigned or required to support the organization's mission.

Qualifications

Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-5 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include, but are not limited to: experience managing clerical and administrative support in an hospital or office setting; using various office software such as Word, Excel, and PowerPoint; creating and generating reports; coordinating, planning, and organizing administrative duties; preparing meeting agendas and minutes; communicating orally and in writing to internal and external customers; researching various publications, manuals, handbooks, and policies; analyzing, extracting, tracking, summarizing, and compiling information for reporting and review; preparing correspondence; providing customers with consistent information according to established policies and procedures, etc.

Receiving Service Credit for Earning Annual (Vacation) Leave: Federal Employees earn annual leave at a rate (4, 6 or 8 hours per pay period) which is based on the number of years they have served as a Federal employee. VA may offer newly-appointed Federal employee's credit for their job-related non-federal experience or active duty uniformed military service.
