PROGRAM COORDINATOR (OPWDD)

About the role

Responsible for all aspects of assigned residential programs, including the physical plant, financial records, interdisciplinary treatment team, and re-certification of programs. Oversees hiring and directly supervises management staff, payroll, purchasing, and billing procedures, as well as preparation and monitoring of fiscal ledgers. Acts as liaison with DDRO and OPWDD Partners, screens and selects individuals, and supports development projects.

Responsibilities

• Supervise managers to ensure all clinical aspects of the program are handled in a timely and proactive manner.
• Update and revise Residential Habilitation Plans and CFAs; ensure planning, shift, annual, semi-annual, IDT, and other required meetings occur, with minutes taken and maintained.
• Supervise and ensure all house records comply with OPWDD regulations and SCO policies, are completed timely, and maintain high standards.
• Lead in-services for pre-services and annual trainings.
• Ensure programmatic books and EHR systems (Individuals, Financials, Accufund, MAR, Medical Books, fire drill, MyEvolv emergency preparedness plans, and individual circle of supports plans) are in order and up to date.
• Provide oversight and direction to residential management for processing purchases and invoices in Coupa, and ensure timely submission of financial aspects such as billing and petty cash.
• Monitor building maintenance (e.g., boiler checks, lawn care) and facilities' overall standards; complete supervisory visit forms.
• Conduct and document monthly site visits according to the residential program checklist procedure.
• Oversee Medicaid billing to ensure services are provided and documented in accordance with Medicaid and Waiver regulations; maintain Evolve as required.
• Review and approve all Coupa submissions; ensure accuracy of reports.
• Maintain incident reporting systems and complete IRC submissions timely.
• Ensure program audits are completed monthly for each site; submit findings to the Program Director with a corrective action plan.
• Participate in IRC/HRC Committee meetings as necessary.
• Maintain certifications: SCIP-R, AMAP, CPR, First Aid, and AED.
• Perform other duties as required by the Program Director or designee.

Requirements

• Master’s degree preferred; BA/BS required.
• Minimum of two years of supervisory experience.
• Minimum of one year’s experience managing an ICF/IRA.
• Working knowledge of ICF/IRA regulations.
• Ability to handle emergencies professionally.
• Maintain a valid NYS Driver’s License.

Working Conditions

35 hours per week with a flexible schedule. Must be available to respond to emergencies and conduct random and ongoing spot checks of programs.
