Target hiring range for this position will be between $58,000 - $64,700 per year. Offered salary will be determined by the applicant’s education, experience, knowledge, skills and abilities, as well as internal equity and alignment with market data.

About the role

The Northwestern University Clinical and Translational Sciences (NUCATS) Institute is part of the Feinberg School of Medicine. NUCATS’ mission is to accelerate innovative and inclusive clinical research discoveries to improve human health for all, and for all communities. Our dynamic team is composed of faculty and staff colleagues with expertise in a wide variety of domains, including: clinical research infrastructure (e.g., regulatory, budget/finance), bioinformatics & data science, biostatistics, community-engaged research, education & career development, and team science.

The Program Coordinator will report directly to the NUCATS Associate Institute Administrator and work closely with NUCATS leadership to support a variety of programmatic initiatives. This role will coordinate activities related to NUCATS resources, services, funding programs, and other strategic initiatives that advance clinical and translational research across the institution. In addition to programmatic responsibilities, the Program Coordinator will provide administrative support to NUCATS leadership, including calendar management, meeting coordination, agenda preparation, meeting minutes, event planning and execution, committee and working group support, and other duties as assigned. The position will play a key role in ensuring the efficient operation of NUCATS programs and activities through effective project coordination, communication, and stakeholder engagement. This is a hybrid position, with the expectation of working both on campus and remotely.

Responsibilities

Administration

  • Manages day to day operations.
  • Ensures that program/project mission, values, guidelines, policies & procedures are implemented & maintained.
  • Manages design and development of program databases; compiles & analyzes data; prepares reports.
  • Reviews processes and recommends changes to incorporate state-of-the-art technology as appropriate into administrative, recruitment, marketing, and educational components.
  • Identifies service improvement opportunities that will better enable program/project to achieve its goals and objectives.
  • Acts as liaison to IT to ensure technology systems are properly installed & maintained.

Faculty Support

  • Coordinates faculty recruitment, appointment & credentialing processes including placing ads, candidate communication & visit.
  • Provides support for preparation of Promotion & Tenure cases.
  • Initiates FASIS appointment paperwork.
  • Arranges colloquium & seminar coordination, & faculty travel planning.
  • Supports faculty in development and approval of new courses, faculty payments, classroom coordination, evaluations, and grading.

Program Development

  • Manages program/project curriculum, seminars, presentations, workshops, learning experiences, chat rooms, websites, social networking, etc. based on goals/objectives.
  • Manages academic quality and continued growth and expansion.
  • Identifies & obtains external expertise as needed and works with content experts for current and new programs.
  • Reviews programs/projects to increase efficiencies to support growth.
  • Manages speaker selection, communication, and topic development.
  • Leads program/project updates and improvements.

Strategic Planning

  • Administers & maintains existing strategic plans.
  • Participates with area/unit senior staff in the conceptualization, development and presentation of materials used in functional operations.

Other

  • Performs other duties as assigned.

Requirements

  • Bachelor’s in business, accounting or a related field + 1 year program administration or similar experience; or 3 years program administration or similar experience.

Pay

Target hiring range: $58,000 - $64,700 per year.

Schedule

This is a hybrid position, with the expectation of working both on campus and remotely.
