About the role
The Program and Process Specialist of Strategic Marketing plays a central role in enabling the execution, coordination, and operational effectiveness of Strategic Marketing Solutions (SMS). While supporting high-impact deal pursuits and marketing storytelling, this role is equally responsible for ensuring projects, priorities, programs, and cross-functional initiatives are organized, tracked, and delivered with clarity and consistency.
Responsibilities
- Coordinate, manage, and help ensure execution of projects across Sales Marketing, Land to Launch marketing, and Content marketing teams
- Serve as a central point of coordination for SMS initiatives—tracking timelines, deliverables, owners, and dependencies
- Support end-to-end project lifecycle management (intake → prioritization → execution → delivery → reporting)
- Help establish and maintain standardized workflows, processes, and systems across SMS (e.g., Monday.com, trackers, intake forms)
- Proactively identify risks, gaps, or bottlenecks and escalate appropriately
- Deal Pursuit Tracking & Sales Marketing Support
- Maintain and update deal pursuit tracking systems, ensuring accuracy, completeness, and visibility across the team
- Aid in the preparation and coordination of pitch materials, presentations, and executive-level content
- Data, Reporting & Operational Insights
- Track and analyze team activity (e.g., deal pursuits, content production, project throughput) to provide visibility into performance and capacity
- Support SMS leadership with reporting, dashboards, and executive-level summaries
- Help maintain data consistency across tools, trackers, and knowledge bases
- Identify opportunities to improve efficiency, prioritization, and resource allocation through data
- Cross-Functional Coordination & BM&C Liaison
- Serve as a key liaison between SMS and the broader Brand, Marketing & Communications organization
- Facilitate communication and alignment across Integrated Marketing, Communications, Creative, and Events teams
- Support execution of cross-functional initiatives that span marketing, development, sales, and community engagement
- Team & Leadership Enablement Support
- Enable the VP of Brand & Marketing and SMS leadership with organizing initiatives, priorities, and strategic ideas
- Coordinate and manage team meetings, agendas, action items, and follow-ups
- Help structure and prepare materials for leadership discussions, offsites, and executive presentations
- Act as an operational “force multiplier” for leadership—turning ideas into actionable plans
Requirements
- Bachelor’s degree in Marketing, Business, Communications, or a related field, or equivalent professional experience
- 3+ years of experience in marketing, project coordination, program management, or a related role within a cross-functional business environment
- Demonstrated experience managing multiple projects simultaneously, including tracking timelines, deliverables, and stakeholders
- Experience supporting cross-functional teams (e.g., marketing, sales, development, operations) and coordinating inputs across groups
- Strong organizational and project management skills, with experience working in tools such as Excel, PowerPoint, and project management systems (e.g., Monday.com, Smartsheet, or similar)
- Ability to collect, organize, and maintain data sets, trackers, or reporting dashboards to support team operations and decision-making
- Strong written and verbal communication skills, with the ability to clearly synthesize information and coordinate across stakeholders
- Detail-oriented with a high standard for accuracy, organization, and follow-through across high-volume workstreams
- Ability to work in a fast-paced, evolving environment and adapt to shifting priorities and business needs
- Proficiency in Microsoft Office Suite (Excel, PowerPoint, Word); familiarity with marketing, content, or collaboration tools preferred
Qualifications
- Highly organized, detail-oriented, and process-driven
- Strong project management instincts (even if not formally titled PM)
- Comfortable managing ambiguity and coordinating across multiple teams
- Strong communication skills—able to operate across Sales, Development, and Marketing
- Analytical mindset with ability to translate activity into insights
- Bias toward action—moves work forward without needing perfect structuring
- Strong ability to organize, prioritize, and manage multiple projects and workstreams simultaneously in a fast-paced environment
- Demonstrated capability to track timelines, dependencies, and deliverables across complex, cross-functional initiatives
- Understanding of project management principles, workflows, and process standardization
- Exceptional organizational skills with a high level of accuracy, consistency, and follow-through
- Ability to manage high-volume work with competing priorities while maintaining quality and alignment
- Detail-oriented approach to tracking data, documenting project status, and maintaining systems of record
