Role Overview

The Procurement and Facilities Coordinator supports the Procurement and Facilities Services function. Key responsibilities include:

  • Processing credit card transactions
  • Maintaining procurement databases
  • Reporting and purchasing approved goods and services
  • Serving as the primary coordinator for daily facilities operations
  • Overseeing office/building security, events, logistics, inventory, maintenance, vendor coordination, and staff safety-related needs

Department Accountabilities

  • Procurement: Implements policies, procedures, and systems for procurement and goods/services management. Ensures procurement processes are compliant and aligned with organizational objectives.
  • Facilities Management: Oversees operations, conducts needs assessments, coordinates maintenance, and manages building/county/state rules and regulations.

Roles Specific Outcomes

  • Procurement: Achieve procurement goals, improve procedures, manage data, represent MSF-USA, draft policies, and collect and analyze data.
  • Facilities Management: Manage operations, budgeting, compliance, and stakeholder engagement.

Works independently, negotiates, and provides guidance to others on developing plans and performing necessary actions based on recommendations and requirements. Consistently looks at complex issues from multiple angles, understands root causes, and swiftly resolves problems.

Desired Qualifications & Experience

  • Education: Associate’s or Bachelor’s degree in business administration, facilities management, supply chain, or a related field, or equivalent relevant work experience.
  • Experience: 3-5 years of relevant work experience in administrative, procurement, facilities, or office management roles.
  • Skills: Processing and reconciling credit card transactions, familiarity with procurement policies, internal controls, and compliance requirements, experience coordinating vendors and service providers, basic understanding of workplace safety or facilities, strong organizational skills and attention to detail, proficiency in Microsoft Office applications, ability to manage multiple tasks and priorities, strong written, verbal, and interpersonal communication skills, ability to work independently and exercise good judgment, high attention to detail and organizational skills, familiarity with ERP systems.
