About the Role

The IT Procurement Analyst and Receptionist manages the campus-wide hardware and software approval process. All purchase orders for software and hardware must be reviewed and approved by the CIO and IT Security. This position provides the information needed for the CIO to make decisions on requested items, follows up with departments for additional information, ensures timely approval or denial from the CIO, and notifies departments of the outcome.

The incumbent works with ITS' security group to obtain approval or denial based on software/hardware data classification and protection levels (P1, P2, P3, P4, etc.). The Analyst follows up with departments if an Appendix DS is required or if additional information is needed by IT Security, ensures timely decisions from the IT Security group, and communicates those decisions to campus departments.

Additionally, this role serves as the first point of contact at the Computing & Communications Building (C&C Bldg.) for employees and visitors, performing administrative duties such as receiving packages (physically and within UCR's Procure to Pay system), notifying staff of deliveries, assisting with procurement of ITS software/hardware maintenance and office supplies, managing C&C conference rooms, overseeing ITS golf-cart check-out, and greeting, directing, and arranging parking for visitors.

This is an on-site position located in the Computing & Communications Building, funded by soft funds with a three-year commitment. Future extensions depend on funding availability.

Responsibilities

  • Manage the campus-wide hardware and software approval process, ensuring all purchase orders are reviewed by the CIO and IT Security.
  • Provide necessary information to the CIO for decision-making on software/hardware requests.
  • Follow up with departments for additional information and ensure timely approval or denial from the CIO.
  • Notify departments of approval or denial decisions.
  • Work with ITS' security group to obtain approval or denial based on data classification and protection levels (P1, P2, P3, P4).
  • Follow up with departments if an Appendix DS is required or if IT Security needs more information.
  • Ensure timely decisions from the IT Security group and communicate outcomes to campus departments.
  • Serve as the first point of contact for employees and visitors at the C&C Building.
  • Receive and manage packages (physically and within UCR's Procure to Pay system) and notify staff of arrivals.
  • Assist the Senior Procurement Analyst with procurement of ITS software/hardware maintenance and office supplies.
  • Manage C&C conference rooms and ITS golf-cart check-out.
  • Greet, direct, and arrange parking for visitors.

Requirements

  • Bachelor's degree in a related area and/or equivalent experience/training.
  • Minimum of 2–4 years of related experience.
  • Working proficiency in standard spreadsheet and word processing software.
  • Analytical skills to evaluate the quality and cost-effectiveness of purchasing options.
  • Ability to read and interpret terms and conditions of basic contracts.
  • Strong written and verbal communication skills.
  • Highly organized and detail-oriented.

Preferred Qualifications

  • Knowledge of ITS departments and operations to meet procurement needs.
  • Familiarity with UCR's procurement policies and procedures.
  • Understanding of UCOP's system-wide IT contracts.
  • Experience with procurement/financial systems (e.g., Oracle Procure to Pay, Oracle Financials, Concur).

Pay

The full salary range for this position is $27.63–$47.56 per hour, with an expected pay scale of up to $37.60 per hour. Salary offers are based on education, licensure, certifications, experience, and other business and organizational needs.
