About the Role

Reporting to a Director of Practice Operations and working in close collaboration with the Medical Director and/or provider staff, the Practice Manager is responsible for the daily operations of physician, CNM, and NP practices with a commitment to providing the highest quality of service to patients and a collaborative work environment for staff. Responsibilities may include practices with a rotation of residents and/or fellows, overseeing multiple practices, or complex multi-specialty practices.

Responsibilities

  • Manages practice operations with a focus on delivering high-quality patient service.
  • Ensures all patient care and administrative functions are completed in a compliant, efficient, and timely manner.
  • Improves and maintains patient access.
  • Partners with the Group Practice Director to establish, implement, and monitor office policies and protocols.
  • Participates in planning and implementing practice goals and objectives.
  • Develops and enhances workflow mechanisms to increase office efficiency.
  • Performs performance management of assigned staff, including evaluations, addressing performance gaps, and disciplinary action if required.
  • Cultivates a collaborative, respectful, and professional work environment.
  • Identifies training needs and assists with staff training to ensure proficiency.
  • May partner with hospital clinical and administrative leadership on rotations of residents and/or fellows, including management of ongoing clinical trials.
  • Collaborates with physician and administrative leadership to plan, develop, and operationalize departmental goals.
  • May oversee practices across multiple sites or complex multi-specialty practices, collaborating with community sites, managing vendor relationships, and partnering with other healthcare institutions.
  • Screens and selects candidates for open positions; manages hiring, training, orientation, and onboarding of staff.
  • Serves as the principal resource on all operational matters.
  • Monitors and adjusts providers’ schedules based on workflow using independent judgment.
  • Plans and monitors budget matters, identifies revenue opportunities, and analyzes variances.
  • Approves and processes weekly payroll using the Kronos timekeeping system.
  • Manages and interprets pay policies for exempt and non-exempt staff.
  • Monitors the revenue cycle process to ensure compliance with data collection, co-pay management, charge entry, and referrals.
  • Ensures proper maintenance of the practice, including ordering equipment, services, and supplies.
  • Monitors invoices for accuracy and maintains contact with hospital departments, vendors, and property management.
  • Addresses patient concerns, complaints, or billing issues effectively.
  • May provide coverage by handling physician telephone calls and locating covering physicians for patient emergencies.
  • Supports and contributes to marketing strategies for new patient business.
  • Facilitates continuing education and training for staff and providers.
  • Conducts staff meetings and attends organizational meetings, ensuring communication and feedback opportunities.
  • May assist the Division Chief with oversight, coordination, and administration of division-related matters.

Requirements

  • High school diploma.
  • Three to five years of experience in a physician’s office, working as a medical secretary or clinical assistant.
  • Some management experience is helpful.
  • Knowledge of medical billing and terminology.
  • Positive and engaging interpersonal skills.
  • Ability to teach and monitor practice staff.

Physical Requirements & Environment

Normal office environment. Some exposure to patients and related hazards when performing procedures such as phlebotomy.

Pay

Annual base salary range: $58,240.00 USD - $93,184.00 USD. Actual compensation is determined based on factors such as seniority, education, training, relevant experience, certifications, geography, and job responsibilities.
