About the Role

The Practice Manager is responsible for the direction and leadership of operational, business, and financial activities of the medical practice. This includes incorporating Mount Sinai Doctors Downtown’s visions, missions, and values into everyday practice and ensuring successful coordination and delivery of day-to-day operations. The practice manager will collaborate with stakeholders at different levels of the organization, including physicians and other leaders, to drive workflow optimization and innovative strategies.

Responsibilities

  • Direct daily operational activities and clinical functions of the office to provide the highest level of medical services to patients and ensure conformance with department goals and objectives.
  • Oversee physician productivity and assist with maximizing patient care and access by recommending changes in operational strategies as needed.
  • Monitor and ensure compliance, progression, and follow-up of patient satisfaction initiatives.
  • Facilitate implementation and monitor functionality of the Department’s Digital Access initiatives to improve patient access, satisfaction, and workflow efficiencies.
  • Set goals and develop plans for business growth.
  • Maintain liaison with all levels of administration, faculty, and/or outside organizations to coordinate day-to-day operations.
  • Ensure office staff is kept current on new and established policies and procedures; provide retraining and in-servicing on new procedures and protocols.
  • Manage physician and support staff schedules, ensuring office coverage in all areas during office hours.
  • Respond to and resolve patient billing issues; act as liaison between billing office and practice.
  • Evaluate staff performance, train, and supervise all staff, including Patient Service Representatives, Relations Associates, and Administrative Assistants.
  • Correct errors and inform/retrain clerical, clinical staff, and physicians on repetitive errors (e.g., incomplete information, data entry errors, coding correlation errors).
  • Conduct annual performance appraisals utilizing the PDPA format for all staff under supervision.
  • Create and maintain a satisfying workplace that fosters professional growth and job satisfaction for all members of the healthcare team.
  • Comply with all local, state, and federal guidelines, including HIPAA, OSHA, ADA, CLIA, JCAHO, and New York State and City Department of Health.
  • Interpret and administer personnel activities such as interviewing, hiring, training, payroll, counseling, and progressive discipline of staff.
  • Ensure compliance with federal, state, and local regulations regarding equal pay and equal employment.

Financial Responsibilities

  • Identify revenue enhancement opportunities through practice optimization (e.g., space, schedules, access).
  • Optimize the practice's revenue cycle management.
  • Oversee cash control, including reconciliation and depositing of daily receipts (co-payments, self-pay, balances).
  • Review monthly P&Ls and provide variance explanations/feedback as required.
  • Ensure adherence to budget parameters.
  • Coordinate capital equipment procurement for practices and ensure necessary support services are provided.
  • Coordinate space allocation in the building.

Requirements

  • 5 years of medical insurance experience, including medical office administration and benefit verification.

Pay

The salary range for this role is $71,499.90 – $107,569 annually. Actual salaries depend on experience, education, and operational need. The range does not include bonuses, incentive pay, or other forms of compensation or benefits.
