About the Role

K&L Gates is seeking a Pitches & Proposals Coordinator to join the Chicago office. Under the general direction of the Director of Pitches and Proposals and according to established firm policies and procedures, the Coordinator works closely with the firm’s Client Growth team and business personnel to develop timely, high-quality, and competitive proposals. The role involves the development of pitches and proposals, ensuring documents are secure and adhere to firm standards, facilitating the proposal review process, and guiding production of the final draft. The position maintains professionalism and strict confidentiality in all client and firm matters.

Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.

Responsibilities

  • Support the Pitches and Proposals team with proposal development from capture to award.
  • Work closely with the firm’s Client Growth team and business personnel to develop timely, high-quality, and competitive proposals.
  • Create qualifications packages, including relevant practice group descriptions and experience.
  • Assist with RFP, RFQ, award submittals, and application responses.
  • Draft proposal content such as introduction, overview, project approach, and cover letters.
  • Assist with content management of past and current proposals as well as standardized RFP responses.
  • Edit and proofread qualification statements, pitch books, proposals, and other related materials.
  • Maintain consistent brand identity through document templates.
  • Coordinate the design process for specialty materials with the graphics team.
  • Ensure that documents are secure and in keeping with firm standards.
  • Ensure all proposal materials are entered into iManage and EPC in accordance with Pitches and Proposals COE Key Steps and Procedures.
  • Work with the Pitches and Proposals team to ensure deadlines are met.
  • Assist with tracking pitch and proposal outcomes.
  • Assist with EPC record maintenance and updates.
  • Assist with Pitch and Proposal report efforts and compiling data.
  • Communicate the progress of projects to the Director of Pitches and Proposals.
  • Collaborate with graphic designers to develop elements needed for deliverables.

Requirements

  • Bachelor’s degree or equivalent experience required.
  • Experience working on proposals, reading, and analyzing requests for proposal (RFPs).
  • Exceptional organization and ability to work in deadline-driven environments and within teams to complete projects.
  • Exhibit a high degree of initiative in managing multiple priorities simultaneously in a fast-paced, detail-oriented work environment.
  • Proactive with excellent troubleshooting, problem resolution, and follow-through skills.
  • Excellent knowledge of grammar, spelling, punctuation, proofreading, and formatting.
  • Proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint) required; database management skills desired.
  • Power user of MS Office suite including Word, PowerPoint, Excel, and Adobe Acrobat, and proficient using graphics tools within these applications.
  • Experience using Saturno Experience and Proposal Center is a plus.

  • Ability to communicate with courtesy and diplomacy, efficiently follow written and verbal instructions, and maintain effective relationships with a diverse group of attorneys, clients, staff, and outside vendors.

  • Ability to act independently and make decisions within the scope of the position’s responsibilities.
  • Attention to detail and accuracy is essential.

Additional Abilities

  • Desk position requiring a combination of sedentary, walking, and standing activities.
  • Daily use of personal computer.
  • Frequent use of telephone, multifunction printer (MFP), and other office equipment as needed.

Pay

Salary: $73,500 - $110,200 per year. The compensation for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
