Responsibilities
- Performs secretarial and administrative duties in support of the clinical operations.
- Completes tasks of reception, registration, appointment scheduling, eRecord task management, In Basket management, and telephone encounter management.
- Accurately and timely inputs data into eRecord.
- Responsible for all clinic preparation, including provider templates, patient scheduling, coordinating patient care, and optimizing patient outcomes.
- Maintains accuracy and efficiency in the ambulatory setting, ensuring a positive patient experience.
- Assists the Division Administrator and Outpatient Clinical Director operationally, collaborating with providers and staff.
Essential Functions
- Serves as the point of contact for the Practice Manager, Outpatient Clinical Director, providers, and nurses.
- Examines clinic schedules to optimize time and effort for improved patient experience and increased productivity.
- Anticipates the needs of providers and stakeholders, gathering information and documentation for patient care, scheduling, and template optimization.
- Greet patients, ensuring a positive ambulatory experience, including checking in and out during clinic time for all providers in Suite C.
- Accurately and completely registers all patients, maintaining the waiting room, notifying providers of patient arrivals, and ushering patients to exam rooms.
- Schedules follow-up clinic visits, optimizes provider schedules, processes provider requests, and follows up on specialized documents.
- Researches and responds to information in support of patient care as requested by providers, pharmacies, insurers, and stakeholders.
- Supports the practice with administrative and secretarial activities, including entering provider schedules, creating and maintaining files and templates, calendaring, maintaining on-call schedules, and maintaining office and clinical equipment.
- Maintains outpatient operating procedure manuals and Palliative Care Access Guide.
- Attends ambulatory care meetings, gathers and disseminates pertinent information, and represents Palliative Care as the eRecord Super User.
- Uses independent judgment to research and respond to incoming phone calls, routing calls when appropriate, and taking detailed messages for providers, outpatient clinical director, and division administrator.
- Conducts follow-up phone calls on behalf of providers, administrator, and outpatient clinical director.
- Prioritizes orders through eRecord work queues and clerical pool work queues, including performing tasks such as queuing medication refills, managing release of information requests, and rescheduling patients.
- Performs other duties as assigned to support the Palliative Care mission.
Requirements
- High School Diploma required.
- 1 year related work experience in an administrative office or customer service field, or an equivalent combination of education and experience.
- Medical terminology experience preferred.
